Primary Responsibilities:

Reporting to the National President (or designate), the Correspondence Officer provides confidential administrative, correspondence, and documentation management support to the Executive Office.



The position is primarily responsible for coordinating, drafting, and tracking legal and membership-related correspondence to ensure timely, accurate, and professional communication. It supports the National President with general correspondence, document preparation, and follow-up, as well contributes to maintaining organized and accessible filing systems.



As a member of the Executive Office administrative team, the position also provides backup support to other administrative staff to ensure seamless service delivery during absences or peak periods. The role contributes directly to the professional image and efficient operation of the Executive Office through effective correspondence and workflow management.

Education/Experience
--------------------------


Completion of post-secondary education in Office Administration, Business Administration, or an equivalent combination of education and experience. A minimum of three (3) years of progressive administrative experience providing direct support to senior management or handling complex correspondence workflows. Experience providing administrative support in a legal, executive, or governance environment is considered an asset. Completion of a Paralegal or Legal Assistant diploma, or equivalent experience working with legal documentation and correspondence, is an asset.

Knowledge
---------------


Understanding of correspondence management, document formatting, and records retention procedures. Familiarity with legal documentation processes and tribunal structures. Knowledge of PSAC's mission, governance structure, and commitment to equity and fair representation. Proficiency in drafting, proofreading, and formatting professional correspondence and reports.

Abilities
---------------


Tracks multiple active files and deadlines while managing frequent interruptions and shifting priorities. Maintains accuracy and organization in data entry, file management, and document tracking. Coordinates with multiple stakeholders to ensure timely document handling and communication flow.

Demonstrates tact, diplomacy, and discretion in managing sensitive or confidential correspondence.
