The Corporate Services Representative plays a key role in supporting the operations of a high-volume corporate services business. This versatile role requires attention to detail, strong organizational skills, and the ability to balance administrative, legal, and client service responsibilities. The successful candidate will thrive in a fast-paced environment, ensuring accuracy, efficiency, and excellent service delivery to both internal and external clients.
Key Responsibilities
Prepare and file corporate documents related to incorporations, amendments, dissolutions, annual returns, and other filings.
Draft and proofread standard legal documents, including resolutions, agreements, and compliance forms.
Conduct name searches and NUANS reports to support incorporations and name reservations.
Assist with extra-provincial registrations, renewals, and compliance tasks.
Maintain minute books, share registers, and corporate records.
Coordinate production and fulfillment of corporate seals, share certificates, and minute books.
Prepare shipments, ensuring orders are accurate and on time.
Monitor and maintain inventory of corporate kits, seals, and supplies.
Respond to client inquiries regarding filings, orders, and service requests.
Provide guidance to clients on required documentation and processes.
Troubleshoot and resolve client issues with professionalism.
Prepare invoices and ensure accurate billing for services and supplies.
Process payments, support reconciliation, and monitor outstanding accounts.
Skills, Knowledge and Expertise
Bilingual in English and French
Postsecondary diploma or degree in Business Administration, Legal Studies, or a related field (preferred).
2-4 years of experience in corporate services, legal support, or administrative roles (experience with corporate filings or in a law firm is an asset).
Experience with billing, accounting processes, and client service in a high-volume environment.
Strong knowledge of corporate filings, name searches, and extra-provincial registration processes.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with legal or corporate service platforms.
Strong attention to detail, accuracy, and ability to manage multiple tasks under tight deadlines.
Strong organizational and problem-solving skills.
Ability to work independently as well as collaboratively in a team setting.

Effectuer des recherches de noms et des rapports NUANS pour appuyer les constitutions en societe et les reservations de noms.

Preparer les factures et assurer une facturation exacte des services et des fournitures.

Competences, connaissances et expertise
Bilingue en anglais et en francais
Diplome ou grade postsecondaire en administration des affaires, en etudes juridiques ou dans un domaine connexe (preferable).
De 2 a 4 ans d'experience dans les services aux entreprises, le soutien juridique ou les roles administratifs (une experience des depots de documents d'entreprise ou dans un cabinet d'avocats est un atout).
Experience de la facturation, des processus comptables et du service a la clientele dans un environnement a volume eleve.
Solide connaissance des depots de documents d'entreprise, des recherches de noms et des processus d'enregistrement extra-provincial.
Excellentes aptitudes a la communication ecrite et verbale.
Maitrise de la suite Microsoft Office (Word, Excel, Outlook) et aisance avec les plateformes de services juridiques ou d'entreprise.
Grande minutie, exactitude et capacite a gerer de multiples taches dans des delais serres.
Solides competences organisationnelles et de resolution de problemes.
