As a Corporate Privacy Advisor, you will be a key resource and subject matter expert on both the routine and proactive disclosure of City information, and in recommending mitigations concerning potential privacy risks in City projects, programs, and processes. Your role will be integral in providing information, interpretation, education, and best practices about the collection, use, and disclosure of personal information provisions under the Freedom of Information and Protection of Privacy (FOIP) Act. Primary duties include:
Conduct the Privacy Impact Assessment (PIA) for projects and initiatives at The City in compliance with City policies and the FOIP Act.
Determine when a project, initiative or process change requires a full PIA or privacy consultation.
Support the business area in completing the PIA process from intake to implementation of risk mitigation.
Assist business areas in addressing their concerns on the protection of personal information through the PIA process.
Lead and advise project teams to implement and track risk mitigation activities.
Engage with project teams as the privacy subject matter expert, providing advice into the design and development of new and revised products in accordance with privacy policies and procedures, relevant privacy legislation, agreement(s) obligations and privacy best practices.
Conduct research on technology or vendor's privacy policy and practices in order to identify privacy risks and provide mitigations.
Conduct follow-up, monitoring and reconciliation activities to ensure compliance.
Act as the Corporation's key routine and proactive disclosure and privacy subject matter expert for all inquiries pertaining to routine disclosure and privacy issues concerning the collection, use and disclosure of personal information.
Provide guidance and direction to business units or employees in protecting personal information during collection, use, disclosure, storage and/or destruction.
Identify the source(s) of the information being disclosed and work with information custodians to map the internal processes for approving and preparing the information for public release.
Prepare Assess Impact Assessment (AIA) documentation including an information flow diagram, an access risk mitigation table, and if applicable, a privacy risks and mitigation plan, to ensure the information that is going to be proactively disclosed is not more than what is intended to be disclosed, and to ensure that the proactive disclosure promotes openness and transparency through Open Government initiatives.
Assist with development of awareness and training materials.
Create and deliver training to business areas regarding privacy processes and procedures, best practices and compliance.
Review, report, and make recommendations on issues, trends, mitigation techniques, and legal challenges by monitoring government FOIP-related websites for precedents and new policies; procedures and updates to current practices; pending legislation; best practices.
Analyze information and statistical data and prepare reports for management to assist in the delivery of privacy programs and initiatives.
