Job Title: Corporate Event Project Coordinator - SOTI Sync (Fixed-term Contract to December 29, 2023)

Are you a recent graduate from a Special Events program and are eager to make your mark as mission control on a large corporate conference taking place in Germany in October 2023?

SOTI Sync is a high-profile annual event making it's return after the pandemic and the coordinator will be working with global committees, local suppliers and the Senior Leadership of the organization. If you are a recent graduate or have up to two years of events experience, this role may be for you! It's a long-term contract role reporting to the Director of Global Campaigns and Events within a rapidly growing, dynamic Corporate Marketing team to be based out of our Mississauga office (hybrid).

Keys to Success:

To succeed in this role, you have project coordination and event execution experience, mediation and problem-solving skills as well as the ability to juggle rapidly changing priorities with ease. The successful candidate will enjoy working with the events team, committee members, the SLT and the CEO in a highly visible role where attention to detailed execution is critical. The incumbent will be keen to make an impact on SOTI's global event roadmap by delivering executional excellence at every stage of SOTI Sync.

A typical week in this role will include:

  • Overseeing and regularly updating the project management board (on Asana), keeping on top of deadlines and deliverables from various stakeholders throughout the project
  • Coordinating logistics for all aspects of the event including attendee management requirements
  • Coordination of all sponsorship requirements
  • Scheduling and coordinating the committee meetings, agendas, follow up notes/minutes and to-do lists
  • Gathering and disseminating information to relevant stakeholders i.e., contact reports, timelines, commitments, etc.
  • Coordinating on-site event staffing requirements as well as on-site workroom requirements
  • Being the main point of contact for the event and acting as mission control for all requests and information as well as being the liaison with suppliers, sponsors, the venue team and exhibitors
  • Leading quality control of participant information and registrations
  • Providing on-site assistance with executional excellence in the delivery of the event from planning to wrap-up
  • Assisting with the post-event reconciliation including verification of final supplier billings
  • Participating in additional tasks and supporting the Global Events team as required
Does this Describe you?
  • A recent graduate of an Events Management or similar program with 1-2 years of experience in events, incentive travel or project management environment; on-site event operations experience is an asset
  • A demonstrated passion for mobility and technology and an interest in a B2B organization
  • A love for project management - you like keeping others on track and accountable
  • Proven ability to meet deadlines and handle multiple projects simultaneously
  • Strong computer skills, experience including using Microsoft 365 (Word, Excel, Outlook, PowerPoint, Teams, PowerBI), Salesforce.com, Asana or a similar project management tool is an asset
  • Excellent interpersonal, planning, organization, problem-solving and communication skills
  • Excellent written and oral communications skills, attention to details is a must
  • The ability to plan, execute and deliver on-site events working with suppliers and clients
  • Good technical skills or ability to easily learn and adapt to new technologies
  • Ability to work with project committees and the senior leadership of the organization
  • Ability to navigate relationships with global suppliers, vendors, the venue management as well as sponsors and attendees
  • Budget management and financial reconciliation skills
  • High level of organization, research, analysis, problem solving, customer service and planning skills
  • Ability to work effectively in a changing and "get stuff done" environment
  • Strong judgment and the ability to respond quickly, yet thoughtfully, to urgent matters
  • Ability to have FUN with a positive spirit who likes to work hard and play hard in a strong, dynamic collaborative team
