Service \xc3\xa0 la client\xc3\xa8le

  • R\xc3\xa9pondre \xc3\xa0 tous les appels t\xc3\xa9l\xc3\xa9phoniques entrants et aux demandes de renseignements par courrier \xc3\xa9lectronique, aux demandes de renseignements sans rendez-vous des r\xc3\xa9sidents actuels avec professionnalisme et courtoisie
  • Fournir un service client de qualit\xc3\xa9 sup\xc3\xa9rieure aux clients internes et externes en identifiant et en comprenant leurs besoins
  • Promouvoir un fort sentiment dans la communaut\xc3\xa9
Administration et Op\xc3\xa9rations
  • T\xc3\xa2ches administratives telles que la mise \xc3\xa0 jours des informations dans les syst\xc3\xa8mes de gestion des propri\xc3\xa9t\xc3\xa9s, la cr\xc3\xa9ation des bons de travail pour le personnel de maintenance, cr\xc3\xa9ation et suivi des bons de commande et d\'autres fonctions connexes.
  • D\xc3\xa9velopper et maintenir une ligne de communication efficace avec le personnel, les r\xc3\xa9sidents et les entrepreneurs; coordonner avec le personnel du site et assurer la liaison avec diverses \xc3\xa9quipes internes
  • R\xc3\xa9daction et envoie des avis aux locataires
  • Correspondre avec l\'administratrice de propri\xc3\xa9t\xc3\xa9 concernant les ajustements quotidiens sur les \xc3\xa9tats de comptes des r\xc3\xa9sidents; tels que les ajustements aux frais de stationnement et lockers
  • \xc3\x89mettre et suivre les bons de travail et les bons de commande
  • Surveiller les d\xc3\xa9penses en fonction du budget \xc3\xa9tabli par le gestionnaire immobilier
  • Proc\xc3\xa9der \xc3\xa0 des inspections pour s\'assurer que les travaux des entrepreneurs externes sont conformes aux demandes des bons de travail
  • Utiliser le syst\xc3\xa8me de gestion immobili\xc3\xa8re pour extraire divers rapports
  • Accueillir les nouveaux r\xc3\xa9sidents et fournir une orientation compl\xc3\xa8te en coordination avec l\'\xc3\xa9quipe de location
  • Organiser le bureau pour s\'assurer qu\'il est bien rang\xc3\xa9 et bien organis\xc3\xa9
  • Surveiller l\'inventaire des fournitures de bureau
  • Assurer la bonne gestion et l\'archivage des fichiers
Marketing
  • Aider \xc3\xa0 la coordination des \xc3\xa9v\xc3\xa9nements
  • Tenir \xc3\xa0 jour les calendriers d\'\xc3\xa9v\xc3\xa9nements; aider \xc3\xa0 coordonner la trousse de bienvenue pour les nouveaux locataires et divers projets ad hoc
  • Aider lors des enqu\xc3\xaates de satisfaction des locataires
  • Apporter un soutien \xc3\xa0 l\xe2\x80\x99\xc3\xa9quipe de location avec les appels des r\xc3\xa9sidents potentiels ou sans rendez-vous, au besoin
QUALIFICATIONS
  • 1+ an d\'exp\xc3\xa9rience dans le service \xc3\xa0 la client\xc3\xa8le (id\xc3\xa9alement dans un centre d\'appels, vente au d\xc3\xa9tail ou h\xc3\xb4tellerie)
  • Exp\xc3\xa9rience administrative souhait\xc3\xa9e
  • Un baccalaur\xc3\xa9at est pr\xc3\xa9f\xc3\xa9rable
  • Exp\xc3\xa9rience en gestion immobili\xc3\xa8re, un atout
  • Passionn\xc3\xa9 par le service client et toujours \xc3\xa0 la recherche de moyens d\'aller au-del\xc3\xa0 des attentes
  • Excellentes comp\xc3\xa9tences en r\xc3\xa9solution de probl\xc3\xa8mes et capacit\xc3\xa9 \xc3\xa0 naviguer dans des situations complexes
  • Un haut niveau de professionnalisme

We\xe2\x80\x99re looking for a Resident Services Coordinator to support a busy multi-residential property management office! Some of the major responsibilities for this role include responding to a variety of current and prospective resident inquiries, supporting the leasing and operating teams throughout the sales process.

RESPONSIBILITIES

Customer Service
  • Answer all incoming telephone calls and email inquiries, walk-in inquiries from current residents professionally and courteously
  • Provide superior customer service to both internal and external clients by identifying and understanding the needs of others
  • Promote a strong sense of community
Administration and Operations
  • Administrative duties such as maintenance of information into property management systems, inputting work orders, purchase orders and other related job functions.
  • Develop and maintain an effective line of communication with staff, residents and contractors; coordinate with site staff and liaise with various internal teams to provide support as required
  • Managing the communication and execution of tenant Advisory Notices
  • Correspond with Property Administrator regarding the daily resident adjustments, parking adjustments, rent adjustments, and resident discharge adjustments
  • Issue and track work orders and purchase orders
  • Monitor expenses to budget as directed by the Property Manager
  • Review all incoming and outgoing in-suite inspections and repairs to ensure resident satisfaction and external contractors are compliant to work order requests
  • Utilize the property management system to record transactions and run various operating reports
  • Welcome new residents and provide a full orientation in coordination with Leasing Team
  • Organize office area to ensure it is kept tidy and well-organized
  • Monitor inventory office stationery supplies
  • Ensure proper file management and archive of files
Marketing
  • Assisting with coordination and execution of events
  • Maintaining event calendars; assist in coordinating new tenant welcome package, and various ad hoc projects
  • Assisting with Tenant Satisfaction Surveys and summaries
QUALIFICATIONS
  • 1+ year of experience in customer service (ideally within a call center or retail based or hospitality environment)
  • Previous administrative experience preferred
  • Bachelor\xe2\x80\x99s Degree is preferred
  • Property Management/Real Estate experience an asset
  • Passionate about customer service and always looking for ways to go above and beyond the call of duty
  • Excellent problem-solving skills and able to navigate around complex situations
  • A strong level of professionalism
  • A highly collaborative individual with strong communication skills (written, oral and interpersonal relationship skills)
  • Intermediate level knowledge of Yardi 7S, Concierge and MS Office (Word, Excel, Outlook, and PowerPoint)
  • Must be a self-starter with high degree of initiative, flexibility, independence and professionalism
  • Possess knowledge of health and safety practices
  • Must be able to work in different locations
