Why is this role important?
The Coordinator, Translation coordinates and plans all stages of the translation process, from initial client request to final delivery of translated documents, ensuring work is produced according to established processes, schedules and timelines. The Coordinator is the key primary liaison with clients, translators and revisers and advises on all matters pertaining to the translation process. They also act as a corporate resource and provides guidance for questions related to translation processes.
What you'll do
1. Coordinates, maintains and monitors all submitted translation requests, including scoping size of project (determining word counts) and communicates with internal clients to verify requirements and clarify instructions when necessary.
2. Establishes timelines for all translation and revision tasks as well as contributes to the development of schedules for important publishing projects. Provides updates to the Team Leads on timelines and deliverables including making recommendations for the resolution of issues.
3. Allocates work to the translators and revisors and monitors workload and works with the Team Lead to ensure deliverables are met. This includes coordinating and organizing all supporting documents, materials and instructions including doing pre-translations using translation memory software.
4. Supports the Team Lead in identifying, evaluating and prioritizing translation requests for outsourcing. Coordinates the process for outsourcing translations which includes organizing and transferring working files, instructions and reference materials to external vendors as well as obtaining quotations, purchase orders and processing invoices.
5. Establishes and maintains strong working relationships with internal and external clients along with other team members.
6. Responsible for maintaining the Purchase Order (PO) Chart by accurately entering the cost details received from the main vendor. Ensures that the delivery dates provided match the dates originally requested and follow up as needed to resolve any discrepancies.
7. Provides support to the Team Lead and Manager with the annual operational plans and the evaluation of workload and priorities. Acts as a corporate resource to provide advice and guidance related to translation timelines and processes.
8. Participates in the development of standard operating procedures for the translation team, helps maintain the documentation and ensures appropriate internal processes are followed.
What you'll bring to the table
  • University degree/college diploma in a related field or equivalent combination of education and experience.
  • Minimum 3 years of experience in project coordination.
  • Professional knowledge of Microsoft Office Suite; experience with translation software an asset.
  • Outstanding organizational skills and attention to detail.
  • Ability to work under pressure with minimal supervision.
  • Ability to maintains a calm and supportive attitude in high-pressure situations, fostering a respectful and stress-mitigating environment for the team.
  • Ability to efficiently coordinate and prioritize several projects to meet deadlines.
  • Experience with work allocation.
  • Excellent communication and interpersonal skills.
  • Fluency in English required, proficiency in both official languages is strongly preferred.
