Reporting to the Senior Program Manager, Asset Management you will coordinate and assist external vendor lifecycle for SD&RE division in support of the implementation and delivery of design, and construction, capital improvement projects, and facilities operations of LCBO. There is a responsibility to maintain strong working relationship with SD&RE contract owners, Procurement and Legal teams and have strong influence on all departments with SDRE in providing support, guidance and training on procedures, scheduling, vendor management, audits, escalations, vendor service levels, quality assurance, reporting, and analysis.This position will coordinate and oversee various processes and assist with administration and development of Store Development and Real Estate (SDRE) programs and projects. You will track, monitor, and report on capital spending activities and processes, to ensure that our process framework is supportive of corporate business strategies. You will prepare, maintain, and deliver programs and training packages to build awareness of and promote new tools as our industry evolves.If you are an analytical, client focused problem solver, then this is the role for you!What\xe2\x80\x99s the role about?Strategic Sourcing/Contract Management

  • Re-issue RFPs, create new RFPs, RFQs, RFTs, requisitions, and other contract documents to support the managing departments and ensure conformance to LCBO policies.
  • Manage and coordinates all procurement submissions, communications, and reporting for Program Management and SDRE Departments.
  • Maintain contract and program/project schedule tracking; assists in developing and improving understanding of policies, processes, procedures, and operation manuals.
  • Review internal processes to ensure continuous quality process improvement and suggest areas of development and revision.
Vendor Performance and Analysis
  • Develop and maintains databases to support reporting requirements, standardized processes and procedures ensuring contract deliverables are met.
  • Develop tools, templates, spreadsheets, charts, maps, and manages data to support program performance tracking.
  • Monitor and tracking vendors\xe2\x80\x99 performance, maintain performance records, implementing control mechanisms.
Asset Management
  • Deploying capital planning approved software for aggregating asset information.
  • Responsible for consolidating facility data for comprehensive capital programs\xe2\x80\x99 (emergency or preventative) planning and tracking, approval and assignment of funding.
  • Ongoing data mining process such as exploration, pattern identification for validation and verification.
  • Evaluate quality of data required to ensure accurate reporting, troubleshoot areas of poor quality, and conduct root cause analysis.
What will you bring to the team?
  • Knowledge gained through experience or post-secondary education related to business or engineering, retail operations, real estate, and/or contract administration
  • Minimum 2 years of relevant work experience
  • Preferred with 3-5 relevant recent work experience with a PMP, Facility Management or Asset Management Professional, or working towards achieving the certification is an asset.
  • Sound understanding of procurement process, contract management, store development planning, project/program management principles, and vendor management.
  • Familiarity with Construction Lien Act and Canadian Construction Documents Committee (CCDC) standards and templates.
  • Demonstrated ability to undertake and explain complex data analysis and interpretation, database management, conduct quantitative and qualitative research
  • Advanced computer skills using software application packages (particularly to conduct analysis), such as Microsoft Office Suite (Excel, Project, PowerPoint, SharePoint), Oracle, PowerBI and Internet navigation and research
  • Demonstrated understanding of the complexities and sensitivities of operating within a marketplace that is both regulated and competitive, particularly policies and procedures applicable to a store planning and facilities management environment
  • Demonstrated ability to manage, develop, and execute training programs
  • Highly developed understanding of LCBO retail operations and retailing in general
  • Extensive understanding of LCBO Store Development and Retail Operations processes
