Job Description

As the

Coordinator, Records Management

you will work independently to provide support to the Chief Information & Privacy Officer (CIO) to develop, implement and audit a records management framework for CPSA.


KEY RESPONSIBILITIES





Develop, deliver, and evaluate records management measures and training for internal stakeholders, including:

o Develop records management policies and procedures to ensure alignment with CPSA's recordkeeping policy.

o Employs industry standard methodologies in the development and maintenance of Records Retention Standards, Policies, Schedule and Supporting Procedures.

o Maintain and organize CPSA records both paper and electronic, according to CPSA policies and procedures.

o Establishes organizational records management training, communication and change management strategies to promote and sustain records management understanding and knowledge with CPSA internal stakeholders.

o Develop and deliver training materials and user guides.

o Administer inventory of physical and electronic records to ensure strict compliance with laws and regulations, and CPSA policy and procedures.

o Conduct audits, evaluations, and other reports/studies related to CPSA records to promote compliance with records retention policies.

o Facilitate organization wide record clean up and record disposition.


o Provide direction and guidance to teams in managing their information (through the full life cycle from creation to disposition) while ensuring compliance with CPSA standards.

o Work with teams in establishing new document types and names in compliance with CPSA guidelines.

Provide back-up to the Privacy Coordinator as required In support of continuous quality improvement, research new technologies, review processes, and make recommendations to enhance CPSA's technology practices. Other duties as required

QUALIFICATIONS



Education:



Bachelor's degree


Experience:



Experience with Document management systems and frameworks 5-8 years of related experience


Skills:



Project and change management experience. Experience with Privacy Frameworks, DRM (Document Rights Management), ISO frameworks and auditing systems. Experience with setting up training programs for staff Advanced interpersonal and communication skills, including comfortability with presentations and communicating with various internal and external partners. Proficient in Microsoft Office, Adobe and SharePoint required. Organizational and prioritization skills Professional Development through ARMA International or the Association for Information and Image Management (AIIM)


SALARY



The salary for this position is $80,954 and includes a comprehensive benefit package and pension plan.

During the 90-day probationary period, the successful candidate will be required to work from CPSA's downtown Edmonton Office. At the conclusion of a successful probationary period, a hybrid work arrangement may be considered.
