Role Objective

In an increasingly complex and rapidly changing environment, Takeda is searching for a highly capable coordinator to provide support and manage projects to enable the Patient Value & Access (PV&A) team to deliver on their objectives. They will support the team to create value based partnership initiatives that communicate the value of Takeda, our services and products to national/provincial government, public and private payers and other relevant external customers. Cross functional work across all levels will be critical to for success

Accountabilities

  • Lead and manage procurement and invoice payment process for the department, including new vendor onboarding, risk assessments, vendor life-cycle change management requests, and contract execution.
  • Support the management of PV&A departmental and therapeutic area budgets, ensuring key stakeholders are updated on a regular basis. Responsible for ensuring all budget trackers are up-to-date and budget is reconciled with finance to ensure appropriate accruals and payments are processed.
  • Support communication, and manage administrative process with patient organizations, in collaboration with the Patient Engagement & Advocacy Lead
  • Manage the patient engagement system and assist others to navigate system and help resolve problems/issues. Recommend and lead system improvements.
  • Manage the internal review and approval process for communication tools e.g external presentations
  • Provide support for ongoing PV&A activities (submissions, payer communication)
  • Coordinate the administrative, contracting and payment process for all PV&A sponsorships, and other PV&A initiatives
  • Administrator of PV&A Sharepoint and Microsoft Teams Sites, including ensuring content, access, permissions, files are approved, updated, and audit ready
  • Be the PV&A owner for the Bloom, learning and development platform
  • Lead organization and execution of team events e.g. department/offsite meetings and external engagement as needed.
  • Support PV&A Head and Leadership team on leading or driving governance, processes, and project management as needed
  • Coordinate onboarding activities for new employees to PV&A e.g. training on Concur, etc
  • Special projects required by Head, Directors, Managers. Provide Ad Hoc request to support the PV&A team, as they arise
Key Capabilities
  • Excellent oral and written communication, and fluency in English
  • Highly collaborative team player with growth mindset, agility and a can-do attitude and strong work ethic. Excellent communication within team but with also with cross functional partners
  • High and accurate attention to detail in day to day activities, especially finance and compliance to SOPs. Strong sense of accountability for accurate and timely execution of tasks, in a timely manner. Proactive follow-up to ensure deadlines are met.
  • Strong organizational capabilities, and demonstrated ability to prioritize and manage multiple responsibilities
  • Customer experience an asset to work with government, patients and patient organizations
  • Solution oriented for innovative solutions
  • Understanding of healthcare or pharmaceutical environment is helpful
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint)
  • Familiar with or ability to learn new programs e.g SAP, ARIBA
Education and Experience
  • Post secondary degree
  • Minimum 2-3 years in pharmaceutical or executive assistant capacity an asset
  • Proven track record for demonstrating proactive, communication and administrative support, to enable the managers to deliver on their objectives.
  • Computer literacy \xe2\x80\x93 MS Office (i.e. Word, Excel, PowerPoint databases etc.)
  • Bilingual French and English is an asset.
Travel Requirements
  • Willingness to travel to regular meetings or client sites, including overnight trips as required
