Why is this role important?Reporting to the Manager, Governance and Strategy (G&S), the Coordinator works in a matrix environment and provides operational, logistical, internal engagement and administrative support to help deliver the department's priorities and projects. This includes supporting deliverables related to strategy and planning, corporate performance measurement, strategic risk and accountability reporting. The Coordinator will also support the Corporate Secretariat team's corporate secretariat function.What you'll do1. Supports the coordination and execution of operational activities and reporting processes across governance, planning, risk, performance and other corporate priorities.
2. Coordinates, collates and reviewsinformation requests for annual plans and quarterly reports, and maintains currency and completeness of key files.3. Researches to inform recommendations, supports stakeholder engagement activities, and facilitates cross-functional communication and collaboration.4. Act as a key liaison between Governance and Strategy and other internal teams, and coordinates and prepares content for the CIHI website and internal SharePoint sites.5. Provides project management support, including drafting plans, maintain sightlines on priorities and tracking status of deliverables, leads quality assurance of products for external release, and maintains team files and records.6. Supports the Corporate Secretariat, such as Board member liaison, remuneration and budget management, onboarding and orientation, workplan and agenda tracking, Committee and Board meeting management, including logistics, event planning and maintaining records of decisions management.7. Supports executive and senior leadership meetings and events, such as workplan management and meeting planning, including working with management to draf agendas, collate and distribute materials, prepare minutes, track action items and coordinate logistics.8. Provides light general calendar management and scheduling supporting to the Director, Strategy and Operations, including meeting coordination, travel arrangementsand other administrative supports as needed.9. Supports other team priorities and deliverables as needed, such as procurement and vendor relations, organization-wide implementations and change management, coordination of external engagements and communication, and coordination of organization-wide strategy management projects.What you'll bring to the table
  • Undergraduate degree in Health, Business Administration, Social Sciences, Communications (or related field) or equivalent combination of education and experience may be considered.
  • A minimum of two years' experience in a liaison or coordination role, working with both internal and external stakeholders; experience in a corporate or strategy function is an asset
  • Demonstrated project coordination experience
  • Proficient knowledge of project management principles and tools such as Gantt charts
  • Demonstrated ability to think critically, and effectively analyze and synthesize complex information
  • Strong interpersonal, written and verbal communication skills
  • Experience coordinating in-person and virtual meetings
  • Competency in the use of Microsoft's Office programs (Excel, Word, PowerPoint, Teams, Access) and SharePoint; experience with other relevant corporate tools (e.g., expense claim processing) would be an asset
  • Experience supporting senior leadership
  • Ability to work independently within various business models including matrix team structure
  • Ability to manage multiple projects with competing timelines
  • Fluency in English required, bilingualism in both official languages is an asset
