Overview

We are looking for a new teammate to join our Sobeys Aviation Team! The Sobeys Flight Operations Coordinator will partner with head office, maintenance team and external vendors for scheduled and non-scheduled aircraft maintenance. This role will collaborate with Senior Personnel and Executive Assistants to determine flight requirements. The Coordinator will ensure flight operations are conducted in compliance with Transport Canada mandated Safety Management System.

While we are recruiting across Canada, this role will be based out of the Halifax International Airport in Enfield, Nova Scotia.



This role ensures the seamless operation of the Sobeys Aviation Department:

\xc2\xb7 Liaise with company Executive Assistants and other personnel to arrange travel on Sobeys aircraft.

\xc2\xb7 Interacts directly with Senior Leaders, Sobey Family etc. when required - ensure a high level of internal and external customer service is provided to all.

\xc2\xb7 Create and manage crew/aircraft flying schedule, to ensure all trips can be accomplished in an efficient and cost-effective manner - considering all applicable Canadian Aviation Regulations and ensuring compliance with any airport/airspace restrictions.

\xc2\xb7 Ensure logistical information is scheduled, confirmed, monitored, and updated prior/during/after each flight. Changes occur frequently, and all information needs to be updated accordingly on a very short notice.

\xc2\xb7 After hours work is required especially when the airplanes are flying to support logistics.

\xc2\xb7 Prepare detailed and regulatory required trip data packages for pilots and passengers consisting of flight itinerary, ground transportation, hotel confirmations, catering, and any other specific crew information required. Customs arrangements require 100% accuracy compliance of the data that is communicated to CBSA, CBP, or any other Customs agency.

\xc2\xb7 Establish suppliers and negotiate fuel pricing.

\xc2\xb7 Lead the following processes: aircraft ground handling, refueling operations and other required ground services with various service providers; Obtain international permits and visas and coordinate with outside aircraft service handlers for international flights; Establish and maintain a passenger and crew profile for: passports, CBSA required information, medical conditions, dietary requirements, catering preferences, and any other pertinent information.

\xc2\xb7 Coordinate training schedules, hotels and airfares, events for all Aviation Department personnel with the various outside training providers.

\xc2\xb7 Assist with preparation of the departmental budget, forecasting and tracking. Analyze trends and recommend adjustments based on budgetary needs and requirements. Compile statistical data for budget forecast and actual monthly reporting.

\xc2\xb7 Office management: implement processes, authorize invoices for payment, maintain office equipment, order supplies, manage courier/mail, etc.

\xc2\xb7 Maintain department records including: Operational Flight Data Sheets, maintenance records, insurance documents, and personnel records to ensure accurate reporting, currency, and accountability.

\xc2\xb7 Participate and comply with all required/mandated training.

Job Requirements

This role interacts directly with Senior Personnel and Sobey family members and requires the highest level of professionalism.

Communication: Ability to understand and implement direction provided by Directors of Aviation and communicate professionally with employees at all levels of the company, with customers, contractors, service providers, etc.

Safety: Support the efforts and initiatives of the safety program; display attentiveness to proper protocols for incident or emergency situations, consistent with the company\xe2\x80\x99s Safety Management System (SMS) and expedite, as required, all reports, bulletins, and notices.

Position Requirements:
\xc2\xb7 5+ years of experience in a comparable role within the Aviation industry, ideally within a Corporate Aviation Department, is preferred

\xc2\xb7 University degree or college diploma in Business Administration (Aviation Management or equivalent preferred)

\xc2\xb7 Completion of Flight Coordinator Training (Crew Resource Management, Fatigue Management, Safety Management System, Security, Threat & Error Management, etc) is preferred.

\xc2\xb7 Proficient usage of complex computer software related to flight operations logistic support; including but not limited to, Jeppesen, BART, ARINC, Flight Deck, Baldwin Aviation SMS and SAP programs.

\xc2\xb7 Knowledge of aviation regulations (Transport Canada, FAA, ICAO, EU, etc)

\xc2\xb7 Must be able to travel for work related activities
