The Department of Family Medicine is a large complex provincially distributed medical education program in the College of Medicine at the University of Saskatchewan and is dedicated to excellence in patient care, teaching and learning, research, and administration. The Coordinator, Finance & IT supports the Director, Operations & Administration by overseeing financial operations, IT infrastructure, financial policy development, and data-driven decision-making across all divisions. This role ensures the effective management of financial planning, compliance, procurement, and IT modernization, supporting the department's strategic priorities and operational excellence
This role leads IT infrastructure management, financial planning initiatives, and financial policy development, ensuring alignment with university policies and department-wide strategic objectives. The Coordinator is responsible for financial forecasting, technology upgrades, and internal controls, supporting all family medicine divisions.
Additionally, the Coordinator supervises the rural & finance assistant and provides leadership in process improvement and systems modernization, ensuring efficient and effective financial and IT functions.
Nature of Work:
Reporting to the Director, Operations & Administration, this role is responsible for day-to-day management of financial operations and IT infrastructure across all department divisions. The Coordinator is responsible for strategic financial planning, data analysis, policy development, and IT management., ensuring that financial transactions and technology solutions support the department's long-term goals.
The Coordinator leads IT improvements, financial forecasting, and technology upgrades to support research, education, and clinical functions.
This position supervises the finance assistant and provides mentorship, training, and oversight, ensuring the financial and IT functions operate efficiently and effectively. The role operates in a fast-paced, high-volume academic and clinical environment, requiring strong leadership, problem-solving, and decision-making skills.
This position may require occasional travel between training sites and participation in meetings or initiatives outside regular working hours. Flexibility and adaptability are essential to ensuring success in financial and IT operations.
Typical Duties and Accountabilities:
This will include, but is not limited to, the following:
Execute day-to-day financial transactions, including processing invoices, purchase requisitions, and journal vouchers.
Reconcile department purchase cards, travel reimbursements and expense claims, ensuring accuracy and compliance.
Provide data-driven financial analysis and insights to support department-wide decision-making and resource allocation.
Develop financial reports, budget summaries, and expenditure tracking for all department divisions.
Assist in fund reconciliations, year-end financial reporting, and audits.
Support the preparation of service agreements, funding contracts, and payroll corrections related to faculty.
Lead initiatives to enhance financial transparency and accountability across all divisions.
Financial Policy Development & Compliance
Collaborate with the Coordinator, Innovation & Continuous Improvement in the development, implementation, and continuous improvement of financial policies, ensuring compliance with university regulations, accreditation standards, and departmental priorities.
Establish and maintain effective internal financial controls to ensure accuracy, compliance, and risk mitigation.
Oversee procurement processes, vendor contracts, and service agreements, ensuring cost efficiency and regulatory compliance.
IT Management
Serve as a key contact for IT support, assisting faculty, staff, and learners with technology issues, system access, and troubleshooting.
Develop and manage department IT policies and procedures.
Oversee the acquisition, deployment, and maintenance of IT hardware, software, and cloud-based systems across all department sites.
Manage SharePoint administration, digital storage solutions, and data integrity initiatives to enhance department-wide IT efficiency.
Identify and implement emerging technology solutions to improve financial and administrative operations.
Track and manage the computer refresh cycle and fixed asset inventory to ensure up-to-date IT
Leadership, Supervision & Stakeholder Engagement
Supervise the rural & finance assistant, providing mentorship, training, and professional development support.
Serve as a liaison with the College of Medicine and external stakeholders, ensuring alignment with institutional policies and best practices.
Provide guidance and training to faculty, staff, and learners on financial policies, and technology usage.
Support the Director, Operations & Administration in department-wide strategic planning and process optimization initiatives.
Lead collaborative initiatives with multiple stakeholders, ensuring seamless integration of financial and IT functions.
Qualifications:
Education:
A relevant post-secondary certificate, preferably in Accounting, Commerce, Business or related field, along with a minimum of 5 years of relevant experience with demonstrated excellence in finance and accounting activities of a complex and diverse fund source organization such as a health care or post-secondary education environment. A combination of education and experience may be considered.
Experience:
A minimum of 5 years of relevant experience with demonstrated excellence in a complex and diverse organization such as a health care or post-secondary education environment. Awareness of issues facing higher education, medical schools, and experience with physician and learner engagement is an asset.
Demonstrated excellence in leading people and of senior budget and finance management of a complex and diverse fund source organization such as a health care or post-secondary education environment. Direct knowledge and experience with University of Saskatchewan policies and procedures, including contracts and budgeting; knowledge of accounting procedures and protocols, budget administration and financial forecasting, analysis and reporting.
Proven ability to build relationships and work collaboratively with team members from different area of expertise, and with administrators across a variety of organizations and partners. Demonstrated consensus building in a collaborative work environment and the ability to act with autonomy and discretion on matters within scope of authority, exercising a high degree of initiative and judgement in areas of accountability. The individual is expected to work independently with minimal supervision, to be self -directed and assume initiative in all aspects of their work. Strong communication skills, attention to detail, diplomacy, and the ability to work independently, as well as part of a team, are essential; proven exemplary supervisory and team building experience and experience working in diverse and inclusive environments is required; knowledge of the University of Saskatchewan and Saskatchewan Health Authority rules, regulations and procedures would be an asset.

Knowledge of University of Saskatchewan software and databases are required. Confidence in the ability to learn and use new technology is essential.
