Purpose of Role
The eBilling Coordinator supports the Matter Life Cycle (MLC) Business Operations by assisting with electronic billing processes that help to ensure accurate, efficient, and compliant client service. Reporting to the Manager, eBilling, this role supports the submission, review, and resolution of electronic invoices across client platforms and collaborates with lawyers, billing teams, and clients.
With a focus on learning and growing in the role, the eBilling Coordinator contributes to operational excellence and supports client-focused service delivery.
Key ResponsibilitiesSupport the set up of new eBilling clients and matters, including compliance with client guidelines, uploading timekeeper rates. Collaborate with clients to capture and implement their specific billing requirements, ensuring full alignment and integration with the firm's eBilling processes. Monitor annual rate submission deadlines for e-billing clients, liaising with lawyers, assistants, and business professionals such as the pricing and CMSService. Submit annual rate increases to clients through e-billing vendor sites. Liaise with clients on rate submissions via various eBilling platforms and resolve any outstanding issues. Support the full eBilling cycle, ensuring invoices are accurate and compliant with client billing requirements. Review and reconcile electronic invoices within client vendor platforms, resolving rejections and managing the appeals process. Collaborate with lawyers and practice assistants to provide necessary documentation and information during the appeals process. Work with the Client Services team in e-billing account maintenance, A/R monitoring and resolution. Act as the primary backup to the eBilling Administrator during absences, ensuring continuity of eBilling operations. Escalate unresolved issues to management, where appropriate. Other duties as assigned.

Key CompetenciesPost-secondary education from a college or university is required; a focus in accounting or finance is considered an asset. 1 year of eBilling experience in a law firm or professional services environment; experience in finance functions such as billing, collections, or accounts receivable is an asset. Experience working with e-Billing software: eBillingHub - Elite, TyMetrix 360, Legal Tracker, CounselLink or Collaborati is an asset. Familiarity/Experience with Aderant Expert or a similar accounting system would be an asset but not required. Proficient in Microsoft Office, particularly Word and Excel; advanced Excel skills are considered an asset. Fast learner with ability to perform effectively in a fast-paced and dynamic environment. Excellent analytical and problem-solving skills with strong attention to detail, proven accuracy, and the ability to manage multiple priorities in a well-organized manner. Ability to distill complex issues into clear, actionable messages and communicate proactively with key stakeholders, including lawyers, practice assistants and MLC team members. Proactive, positive mindset with a focus on continuous innovation and process improvement. Flexibility to work overtime when necessary.

Relevant du/de la gestionnaire, Facturation electronique, le/la titulaire du poste appuie la soumission, l'examen et le reglement de factures electroniques sur differentes plateformes et collabore avec les juristes, les equipes facturation et les clients.
Propulsee par un desir d'apprentissage et d'epanouissement, la personne contribue a l'excellence operationnelle et soutient la prestation de services axee sur les clients du cabinet.
Principales responsabilitesParticiper a la creation de nouveaux clients/dossiers qui font l'objet d'une facturation electronique, notamment en assurant le respect des directives du client et en televersant les taux des consignataires au systeme. Collaborer avec les clients pour saisir et mettre en oeuvre leurs exigences de facturation, et assurer l'integration complete et harmonieuse de celles-ci avec les processus de facturation electronique du cabinet. Surveiller les echeances de soumission annuelle des taux pour les clients concernes en assurant la liaison avec les juristes, les adjointes et les groupes de professionnelles, comme l'equipe de tarification et les Services CMS. Soumettre l'augmentation annuelle de taux aux clients dans les plateformes de facturation electronique. Communiquer avec les clients par l'intermediaire des differentes plateformes de facturation electronique et repondre aux questions en suspens. Soutenir le cycle complet de facturation electronique en s'assurant que les factures sont exactes et conformes aux exigences du client. Examiner les factures et proceder a leur rapprochement dans la plateforme du client, corriger les rejets et gerer le processus de contestation. Collaborer avec les juristes et les adjointes a la pratique pour fournir la documentation et l'information necessaires pendant le processus de contestation. De concert avec l'Equipe de service aux clients, tenir a jour les comptes de facturation electronique, controler les comptes clients et resoudre les enjeux de paiement. Agir comme personne-ressource principale en l'absence de l'administrateurrice, Facturation electronique afin d'assurer la continuite des activites. Faire escalader les problemes non resolus a la direction, s'il y a lieu. S'acquitter d'autres taches au besoin.

Principales exigencesEtudes postsecondaires dans un college ou une universite; specialisation en comptabilite ou en finances, un atout. Un an d'experience en facturation electronique dans un cabinet juridique ou de services professionnels; experience dans des fonctions liees aux activites financieres, comme la facturation, le recouvrement ou les comptes clients, un atout. Connaissance des logiciels de facturation electronique eBilling Hub d'Elite, TyMetrix 360, Legal Tracker, CounselLink ou Collaborati, un atout. Connaissance d'Aderant Expert ou de systemes de comptabilite semblables, un atout. Maitrise de Microsoft Office, en particulier Word et Excel; les competences avancees en Excel seront considerees comme un atout. Rapidite d'apprentissage et efficacite demontree dans un environnement dynamique. Excellente capacite d'analyse et de resolution de probleme, souci aiguise du detail et de l'exactitude, et habilete a gerer plusieurs priorites de maniere organisee. Capacite a simplifier des questions complexes en messages et directives clairs et a communiquer de maniere proactive avec les principaux intervenants, comme des juristes, des adjointes a la pratique et des membres de l'equipe GCVD.
