Job Summary


Founded in 1982, the School of Health Administration was one of the first of its kind in Canada and is recognized nationally and internationally as a leader in health administration. Our success is attributed to the talent and determination of faculty from a variety of backgrounds who are committed to student success. Reporting to the Administrative Manager, the Coordinator, Certificate Programs will provide clerical coordination to certificate offerings in the School of Health Administration, including support to students and instructors, to sustain excellence in the overall running and promotion of the certificate programs.


Key Responsibilities


Coordinate the online registration system for tracking of applications, and submission and collation of applications. Create participant files. Monitor, track and process tuition payments and refunds. Maintain statistical reports on applications, admissions, registrations, and tuition revenue. Monitor and respond to a wide variety of applicant and student e-mail inquiries. Prepare and e-mail acceptance letters to applicants. Provide guidance/support to applicants in navigating the on-line application system, working in collaboration with the Faculty of Open Learning to resolve issues. Complete all logistical and financial processes associated with certificate offerings. Book venues, equipment, catering, order swag. Prepare and organize signatures for certificates. Process cheque payments. Prepare deposits, purchase orders, and spending and honorarium payment reports. Liaise with the Academic Lead(s) and instructors to ensure the timely collection of all learning materials. Prepare learning resources for the Print Centre, and collate and prepare for students. Manage and upload PowerPoint slides and course materials in the learning management system. Prepare letters for instructors outlining their topic, date of presentation and honorarium. Respond to, and answer questions from instructors, following up to seek answers as required. Collect personal information from instructors for honorarium payments. Provide onsite support during program delivery. Complete room set-up, ensure all teaching technology is in working order. Greet and register attendees and instructors. Troubleshoot issues (e.g. audiovisual, computers, participant needs, catering, room bookings) and liaise with hotel/onsite staff to resolve as necessary. Support the Academic Lead(s) as required.



Note


The successful applicant will be eligible for hybrid work (combination of in-person work on campus and remote work from within Nova Scotia) as agreed by all parties based on operational requirements and university guidelines.


Required Qualifications


Business/office administration diploma is required with approximately three to five years' related experience (or equivalent combination of training and experience). Must have strong computer skills with proven experience both learning and using a variety of computer programs. Proficiency in MS Office (Word, Excel, and PowerPoint). Must have excellent customer service, interpersonal and communication (verbal and written) skills. Proven experience working independently in a busy, client-focused environment. Must have strong attention to detail, and problem solving and organizational skills.



Assets


Experience in a post-secondary institution. Experience with Brightspace or other learning management systems.
