Position Summary - Our Coordinator, Brand and Content is a key part of the Brand and Content Studio (Studio), supporting Travel Alberta\xe2\x80\x99s business strategy through robust brand governance and high-quality, efficient, nimble content creation that tells compelling, relevant stories
Reporting to the Manager, Brand and Content, our Coordinator is responsible for scheduling, communicating, and administering processes that enable the Studio to create stories. As the first line of response, our coordinator triages all requests about brand and content from Travel Alberta (TA) team members, tourism industry partners and various external partners. Our coordinator leads team status calls, reports plans and progress to stakeholders and leads contract and budget administration.
Our coordinator is an important part of logistical planning for the creation of new content and works with the rest of the Studio members in a collaborative, creative and fast-paced environment. As well, our coordinator liaises directly with creators, agencies and film permit-issuing entities. What You Will Be Doing Communications

  • Triage all requests about brand and content from TA team members, tourism industry partners and various external partners, collect additional information from requestor and liaise between requestor and team member to ensure completion of tasks and final product
  • Support tourism industry partner communications, including drafting and sending emails to inform of production plans and promoting collaboration
  • Communicate with users of the multimedia library (MML) who cannot self-serve due to training and/or licencing restrictions (e.g. GOA users)
  • Ensure approval of all non-tourism MML requests including legal
  • Manage the multimedia library inbox for assets requests and respond to inquiries from the general public from the information inbox
  • Provide support with the multimedia library such as activating new users, reviewing download requests, sharing assets, etc. and effectively communicate the terms and conditions of asset use to requestors
  • Produce and distribute a weekly studio update to all levels of TA executives and management and agency of record partners
  • Attend weekly agency meetings to support the delivery of projects
  • Draft briefs and clearly communicate Studio needs and deadlines to ensure internal stakeholders\xe2\x80\x99 projects are completed efficiently
  • Assist the Studio and agencies with completion of trafficking sheets, creating UTM links, building of social media preview ads, etc.
  • Coordinate projects assigned to Travel Alberta\xe2\x80\x99s agencies
Website & Digital Platform Support
  • Support updating websites including publishing articles, image and page content changes and maintain an up-to-date article database
  • Support the maintenance of the content calendar and asset database
  • Support with uploading and updating videos on the TA YouTube account, creating and publishing video metadata as required
Production support & Studio Operations
  • Support members of the Studio in the creation of content through the management of workflows, communicating with partners and contractors, offering planning and logistical support and leading post-mortems
  • Secure film permits for content shoots and develop good working relationships with film permitting offices across the province
  • Book accommodation and car rentals for team members and contractors
  • Reserve and pick-up rental equipment
  • Conduct tourism industry partner outreach on behalf of project managers
  • Build itineraries and call sheets to keep crew informed with schedules, maps, and another other necessary documents
  • Consistently and proactively keep the Studio team tasks and calendars up to date and communicate those items to the appropriate team members
  • Manage Teams folders to maintain orderly filing system and necessary documents such as templates and commonly used spreadsheets
  • Receive, record, assign, track and monitor Studio projects
  • Track projects and communicate with project managers regarding timelines and budgets for completion
  • Lead weekly interdepartmental status meetings and manage task planner
Vendor Management
  • Support the pre-qualified request procurement process for contractors by communicating with applicants
  • Work with the Procurement team to create and distribute contracts
  • Maintain vendor resources on industry.travelalberta.com including brand guidelines, vendor expense guidelines, model release forms, etc.
  • Work with vendors and Finance team to reconcile expenses and maintain budgets, assist with forecasting
  • Communicate with vendors on Travel Alberta financial requirements regarding invoicing, providing correct documentations for expense reimbursement, collect vendor EFT payment information, etc.
Budget, Reporting & Analysis
  • Work with project managers and Finance team to open, maintain and balance Studio budgets
  • Monitor, update, and reconcile project budgets on an ongoing basis
  • Compile and submit monthly report to Manager and Executive Director reflecting year-to-date budget reporting and allocations
  • Maintain budget projections and monthly/quarterly accruals and reporting
  • Communicate financial requirements to team and proactively manage internal financial deadlines to ensure timelines are met
  • Compile statistical information for reports relating to Studio programs
  • Track and manage external agency budgets
What You Bring to The Team
  • Minimum 2 years of professional, administrative experience or account management
  • Ability to handle ambiguous situations, changing demands, and frequent interruptions
  • Experience providing financial support, including budgets, contracts and invoices
  • Strong communication and organizational skills
  • Strong attention to detail
  • Ability to prioritize and problem solve
  • Ability to work collaboratively and as part of a team
  • Experience in stakeholder communications
  • Experience in project management and meeting deadlines
  • Excellent interpersonal skills including the ability to adapt as project evolve and shift
  • Proficiency in MS Office required; experience in Adobe Creative Cloud suite of products is an asset
  • Experience with content management systems and project management tools is an asset
  • Experience in a marketing environment, agency or client-side, is an asset
