Our Team

Our Newfoundland and Labrador Operations are an integrated mining, milling, and processing operation. Nickel concentrate from the fly-in, fly-out Voisey\xe2\x80\x99s Bay operation is shipped to our state-of-art Long Harbour Processing Plant where it is refined into low-carbon and high-purity nickel rounds, cobalt rounds and copper cathodes

The Operational Readiness department is responsible for the structured process of ensuring the Operations team acquires the tools, skills, and documentation to operate and maintain the assets being transferred from the Voisey\xe2\x80\x99s Bay Mine Expansion Project.

The Opportunity

Vale recognizes the Impacts and Benefits Agreements with the Innu Nation and the Nunatsiavut Government in which Innu and Inuit workers have first preference for employment at the Voisey\xe2\x80\x99s Bay Mine Site. This is guided by an adjacency principle that first gives preference to those who live on the coast of Labrador, followed by those residing in the rest of Labrador, those residing on the island of the province, followed by the rest of Canada.

Next, priority will be given to Newfoundland and Labrador residents. We also welcome those who are willing to relocate back home and those looking to make NL their permanent home.

We are currently seeking a Document Control Analyst to join our Operational Readiness department in St. John\xe2\x80\x99s, NL. This is a fixed-term position until the end of 2024. This position will work a Monday to Friday schedule in our St Johns office with occasional visits to the Voisey\'s Bay Mine Site, if required.

The Document Control Analyst will work with the Operational Readiness team ensuring that proper planning is in place to guarantee the safe and expeditious start up and ramp up of the Voisey\xe2\x80\x99s Bay Mine Expansion Project. The Document Control Analyst will be responsible for the implementation of the Operational Readiness Management System (ORMS) to track the execution of the Operational Readiness Plan (OR Plan). In this role, you will work closely with the OR Superintendent and other SMEs throughout the project execution phase and will be engaged to provide support to the project as a coach/mentor, to support the organization with Change Management, and to facilitate the deployment of the Operational Readiness Plan. Additionally, in this position, you will:

  • Responsible for updating and managing the ORMS software and associated document control system.
  • Assist with the implementation of the deliverables within the OR plan in accordance with the master schedule.
  • Responsible for establishing and maintaining the reporting structure and requirements to the internal/external users (minute meetings, action items, lessons learned, timelines, etc.).
  • Responsible for providing onsite training to the end users on the ORMS systems and supporting tools, techniques and key elements included within the ORMS suite, and coordinating, applying, and tracking change management activities.
  • Provide guidance and coach/mentor the functional department managers and stakeholders on their respective plans. Organize workshops with the project team, subject matter experts and stakeholders to align expectations to make the OR plan manageable and executable.
  • Actively supports the OR Superintendent/Manager in all aspects related to change management, stakeholder engagement, leadership steering committees, in alignment with Vale\xe2\x80\x99s corporate strategy and vision.
  • Accountable to track and communicate progress of OR execution plan based on input from activity owners. Establish timelines for each activity, based on existing standards and knowledge of the activities.
  • Perform progress monitoring, lead weekly/monthly reviews with the steering committee members and support actions during deviations.
  • Organize workshops with the project team, subject matter experts and stakeholders to align expectations, and make the plan manageable and executable.
  • Assist in identifying schedule conflicts to establish critical paths and mitigation plans for items not on schedule.
  • Perform regular audits of the filing practices of all the project team members to ensure the integrity of the records for the project.
  • Transfer documents from the Project document management system into the Operations document management system.
About You

Education:
  • Post-secondary diploma in Office Administration, Technical, or Library Science.
Experience:
  • Minimum 3-4 years of experience in document control or configuration management in a multi-project environment.
  • Completion or training of a records management course (ex: Electronic Records Management) and training in electronic document management system (SISPAV) is considered an asset.
Skills:
  • Strong command and knowledge of project environments, procedures, and business processes.
  • Strong organizational skills and understanding of the set-up and execution of routine office practices.
  • Knowledge and command of Microsoft, databases, and engineering applications.
  • Experience in using electronic document and records management systems and workflow automation tools (Hummingbird DM, DM Workflow, Aconex, Documentum(D2) and Hexagon).
  • Practical knowledge of standard templates and forms creations, management, and usage.
  • Office management skills with experience in implementing new services, database usage, e-mail management, and troubleshooting.
  • Knowledge of records management theory, standards, and best practices for the management of records in all media formats.
