We are seeking a detail-oriented and proactive Contract Administrator to join our dynamic team. The ideal candidate will be responsible for managing contracts and agreements, ensuring compliance with company policies and legal requirements. This role requires strong analytical skills, excellent communication abilities, and proficiency in various software applications. The Contract Administrator will play a crucial role in supporting project management efforts and enhancing customer service through effective contract negotiation and administration.
Duties
Prepare Contractor Payment Certificates and Contract Change Orders on the client's Construction Management Software (CMS).
Verify quantities with the contractor and inspectors before creating payment certificates.
For Contract Change Orders on CMS, provide all supporting documents and explanations in detail for the overages and underage.
Prepare instruction notices to contractors, submittals, and weekly site safety reports.
Prepare a contract calendar (working days) and share it with the client and contractors.
Prepare weekly updates (each location, activities, working day calendar) for the client's project manager and contract administrator every Monday.
Share QA results with contractors within 24 hours of receiving the results from the QA consultant.
Collect QC results and share with the project team within 24 hours of receiving the results from the contractor.
Coordinate and convene Project Site Meetings as required.
Prepare project site meeting agendas and minutes in conjunction with the construction clerk as required.
Review the contractors' schedules (baseline and biweekly) as required.
Update the project schedule for project site meetings as required.
Prepare miscellaneous notices, forms, certificates, and reports.
Coordinate the activities and deliverables for notifications, construction works, training, commissioning, and project completion.
Ensure the contractor has obtained all necessary permits and that they are posted in full view and available upon request.
Visit sites with active construction daily.
Review the Contractor's Traffic Management Plan(s).
Review Shop Drawings
