We are seeking a highly organized and detail-oriented Contracting Officer to oversee procurement and contractual processes within our organization. The ideal candidate will manage contracts, negotiate terms, and ensure compliance with organizational policies and regulations. This role requires strong communication, project management, and administrative skills, along with proficiency in various software tools. Bilingual abilities in English and French are preferred to facilitate effective communication with diverse stakeholders. The Contracting Officer will play a vital role in supporting operational efficiency and fostering positive relationships with vendors and partners.
Responsibilities
Develop, review, and negotiate contracts, ensuring alignment with organizational goals and legal standards.
Manage procurement processes, including sourcing vendors, issuing purchase orders, and maintaining records of transactions.
Utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and specialized tools like Microsoft Project and SharePoint to organize documentation and project timelines.
Maintain comprehensive databases and records management systems to track contract statuses, deadlines, and compliance requirements.
Collaborate with internal teams to define project scope, objectives, and deliverables; facilitate effective communication across departments.
Conduct analysis of vendor proposals and performance metrics to support decision-making processes.
Lead negotiations with suppliers and service providers to secure favorable terms while maintaining professional relationships.
Prepare reports, presentations, and summaries for management review using strong writing and presentation skills.
Ensure adherence to organizational policies regarding procurement procedures, compliance standards, and ethical practices.
Provide exceptional customer service by addressing internal stakeholder inquiries promptly and professionally.
Support leadership in strategic planning initiatives related to contracting activities.
Qualifications
Proven experience in contract management, procurement, or administrative roles within a corporate or government setting.
Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, Outlook; familiarity with Microsoft Access, Project, SharePoint is highly desirable.
Strong analysis skills with the ability to interpret data and contractual documents accurately.
Excellent communication skills in English; bilingual proficiency in French is preferred.
Demonstrated leadership abilities along with organizational skills necessary for managing multiple projects simultaneously.
Effective negotiation skills coupled with a solid understanding of procurement processes.
Experience working with databases and records management systems; familiarity with filing systems is advantageous.
Strong time management skills with the ability to prioritize tasks efficiently under deadlines.
Knowledge of project management principles and experience using project management software such as Microsoft Project or similar tools.
