Construction Project Administrator

Job Description

We are a growing, family-owned business seeking a

Project Administrator

who is highly organized and detail-oriented. In this role, you will be responsible for managing product orders, coordinating with contractors, and ensuring the smooth operation of our construction projects. You will work closely with general contractors, technicians, and various vendors to stay on top of ordering, deliveries, scheduling (including travel), and warranty follow-ups. The key to success in this role is staying on top of all project details.

We are seeking candidates who possess a unique combination of both computer software skills and construction experience. This role requires more than just IT or software expertise--applicants should have a solid background in the construction industry as well. If you do not have experience in both fields, this position may not be the right fit for you.

Key Responsibilities:



Ordering and Product Management

: Manage all product orders, from sourcing to delivery. You will be responsible for learning about our full range of products, navigating vendor systems, and finding alternate products within our inventory when necessary. Products may also need to be delivered by air to remote locations.

Scheduling and Coordination

: Coordinate with technicians, general contractors, and vendors to ensure timely installation, project progress and delivery. This may include scheduling flights and hotels for technicians or other team members as needed.

Warranty Management

: Handle communication and follow-up regarding warranty issues, ensuring that problems are resolved in a timely and efficient manner.

PCN and RFI Management

: Assist with the creation of Project Change Notices (PCNs) and manage Requests for Information (RFIs) as needed.

Safety Knowledge

: Ensure adherence to basic construction safety protocols. Knowledge of COR (Certificate of Recognition) is a benefit.

Background Checks

: Schedule and manage police, RCMP, or other relevant background checks for employees on a project-by-project basis.

Communication

: Maintain constant communication with general contractors, vendors, technicians and other office staff.

Key Requirements:



Work Schedule

: Must be available to work Monday to Friday, 7:30 AM to 4:00 PM.

Exceptional Organizational Skills

: Ability to stay on top of every detail of the project to ensure no jobs are lost, and no products are ordered incorrectly.

Attention to Detail & Follow-up

: Must be able to manage multiple tasks, ensuring timely deliveries and proper scheduling.

Construction Safety Knowledge

: A solid understanding of basic construction safety practices. Knowledge of COR is a benefit.

Product Knowledge

: Willingness and ability to learn and manage a variety of products, including navigating multiple vendor systems for ordering and finding alternative products from our inventory when needed.

Language

: English proficiency is a must. Written and verbal.

Eligibility to Work in Canada

: Must be legally eligible to work in Canada without requiring sponsorship.
