We're seeking a
Construction Project Administrator / Coordinator
to join our growing team -- a detail-oriented professional who can manage documentation, budgets, and project coordination with precision and confidence.
Key Responsibilities
Document Control:
Maintain organized project files, including contracts, drawings, permits, and change orders.
Blueprint Reading:
Interpret architectural and structural drawings to confirm scope and materials.
Contract Administration:
Prepare and track subcontracts, insurance certificates, and compliance documents.
Cost Management:
Monitor budgets, track change orders, and forecast project costs.
Financial Coordination:
Process progress billings, verify invoices, and assist with draw submissions.
Procurement:
Obtain quotes, compare vendor bids, and manage purchase orders and deliveries.
Vendor Onboarding:
Collect W9s, insurance certificates, and banking details.
Client Reporting:
Prepare weekly progress updates and milestone reports.
Project Coordination:
Communicate with subcontractors, suppliers, and consultants to resolve issues promptly.
Permitting & Compliance:
Track building permits, inspections, and ensure OBC compliance.
Task Management:
Maintain checklists, track milestones, and follow up on deliverables.
Qualifications
2+ years' experience in
construction administration, coordination, or project accounting
with QB ONLINE or similar.
Ability to read and interpret blueprints and construction drawings. Use of Auto CAD or other related software an asset.
Understanding of
contracts, budgets, change orders, and cost control
.
Excellent communication and organizational skills.
Proficiency with
Google Workspace / Microsoft Office
; experience with
Buildertrend, Procore, or Monday.com
is an asset.
Spreadsheet and budget tracking skills (Excel formulas, pivot tables, dashboards).
Reliable internet and availability during Canadian (EST) hours.
Nice to Have
Familiarity with
Ontario permits, zoning, and building code documentation
.
Knowledge of estimating, draw requests, and subcontractor billing.
Job Type: Full-time
Pay: $70,000.00-$80,000.00 per year
Work Location: Hybrid remote in Markham, ON L3R 1A3
