Position Title: Construction Administrator / Coordinator
About Horizon Legacy
Horizon Legacy is pioneering the use of robots in construction and solving the problem of labour shortage and affordable housing. Horizon is creating the first construction automation lab in Canada, located in the heart of Toronto, and looking to hire an automation & robot technician to program, operate, maintain, and service our robotic system.
You will be working with a multi-disciplinary team of engineers, architects, and constructors. We hope will be an extremely fun and challenging endeavor for the right candidate motivated by challenges and creative problem solving.
Place of work
Normal work will be hybrid, with a minimum of two days a week in Toronto near the intersection of Yonge St and St Clair Ave, with occasional work being done at our Research and Development lab near the intersection of Wilson Ave and Keele St. This is a 12 - 18 months) term contract position with significant opportunity to become a full-time position
Key Responsibilities:
Construction Administration
Support project managers with documentation, scheduling, and coordination of construction activities.
Maintain project files, permits, contracts, and change orders.
Track project progress, budgets, and timelines using project management software.
Assist with subcontractor onboarding, compliance tracking, payment applications and communication.
Assist in preparing contracts and agreements.
Process and track change orders
Monitor project timelines and milestones.
Update project schedules and report on progress.
Identify and help resolve delays or issues.
Finance & Bookkeeping Support
Assist with data entry for Accounts Payable and Accounts Receivable.
Maintain administrative functions within the project accounting module.
Support the Controller with reconciliations, variance analysis, and budget tracking.
Develop & Complete monthly reporting for construction activities
Review and verify invoices and payment requests.
Health & Safety Coordination
Collaborate with the H&S team to update safety policies and procedures.
Assist in preparing and distributing safety training materials.
Document and report safety incidents and ensure proper follow-up for construction sites.
General Office & Facilities Support
Manage site supply inventory and coordinate deliveries.
Prepare administrative documents such as, statutory declarations, Authorizations for Payment, Subcontractor and Material documentation, supporting Director of Construction, and Construction Site Supervisors.
Qualifications:
Construction Management Courses / Construction Contract Administration
Proven experience in a similar support role.
Strong organizational and multitasking skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite
Attention to detail and problem-solving skills.

Pay: $60,000.00-$70,000.00 per year
