Job Overview



As the Construction Administrator/Receptionist, you will play a key role in managing office operations, supporting project administration, and ensuring seamless communication between clients, subcontractors, and internal teams. This role requires strong multitasking skills, proficiency in QuickBooks and Microsoft 365, and a proactive mindset to support our fast-paced construction environment.

Key Responsibilities



Administrative & Office Management

Act as the first point of contact for clients, vendors, and subcontractors via phone, email, and in-person. Maintain company records, organize digital and physical documents, and handle data entry. Schedule and coordinate meetings, appointments, and site visits. Prepare, review, and manage contracts, invoices, and other legal documents. Manage office supplies and ensure a well-organized workspace.
Financial & Project Administration

Utilize QuickBooks for invoicing, expense tracking, and payroll assistance. Support project tracking, purchase orders, and material deliveries. Assist in budget tracking, financial reporting, and reconciling accounts. Work closely with the project managers to ensure compliance with contracts, permits, and client agreements.
Customer Service & Communication

Handle client inquiries, providing professional and courteous responses. Follow up on payments, contracts, and outstanding project documentation. Assist in preparing reports, presentations, and internal/external communications. Maintain accurate records of project timelines and status updates.

Job Requirements



Proficiency in QuickBooks and Microsoft 365 (Word, Excel, Outlook, Teams, SharePoint). Tech-savvy with the ability to learn new systems quickly and adapt to digital tools. Excellent communication, organizational, and time-management skills. Strong attention to detail with the ability to handle multiple tasks efficiently. Goal-oriented, proactive problem-solver, and able to work independently. Prior experience in construction, real estate, or a fast-paced administrative role is an asset. Ability to work 20 hours per week as a temporary part-time independent contractor at our office in Heritage Square, 8500 Macleod Trail SW, Calgary. Fluency in professional English

Experience & Education



Education: Diploma or degree in Business Administration, Construction Management, Accounting, or a related field preferred.

Experience:

1-3 years of experience in office administration, construction administration, or bookkeeping. Experience in QuickBooks, Microsoft 365 and project management software is a strong advantage.

Compensation & Benefits:

Pay is $17 per hour
