Le poste




Conseille les personnes etudiantes sur les questions non courantes relatives au programme academique et dans leurs decisions academiques, telles que le choix des cours. Evalue les demandes d'admission sur la base des politiques et procedures en vigueur, en collaboration avec le service des admissions du CSJ et le bureau du registraire (RO). Effectue des evaluations preliminaires et formule des recommandations au Vice-doyen academique concernant la satisfaction des conditions d'obtention du diplome, le rendement academique, les dates limites et l'acceptabilite des credits d'echange et/ou de transfert. Peut fournir des conseils sur les echanges academiques ou les transferts de cours. Peut etre appele.e a evaluer les problemes lies a la vie etudiante et a orienter les personnes etudiantes vers d'autres ressources. Transmet a son superieur hierarchique les problemes qui peuvent affecter la reussite d'une personne etudiante ou qui depassent son pouvoir de decision.


Les fonctions du poste incluent, sans s'y limiter :

Evaluation des demandes d'admission



Traite les demandes d'admission au programme, de la phase de demande a celle de decision, en consultation avec le RO, le service des admissions du CSJ et le vice-doyen. Evalue les dossiers des candidats internationaux aux programmes, determine l'admissibilite des etudiants et attribue les credits de transfert. Developpe et tient a jour une base de donnees des decisions relatives aux credits de transfert internationaux et nationaux.

Conseil aux etudiants et gestion des programmes



Conseille les etudiants actuels et potentiels ainsi que le personnel sur les politiques et procedures de l'universite et de la faculte concernant l'admission, l'inscription, la planification des programmes, l'achevement des programmes, la convocation, les retraits de cours, le rendement academique, les notes, les examens differes et le processus d'examen accommode. Identifie les etudiants qui ont besoin d'aide en fonction de leurs resultats scolaires et les oriente vers des services de soutien academique. Fournit aux etudiants des informations sur les alternatives, les limites et les consequences possibles de leurs decisions academiques. Surveille les progres academiques des etudiants en fonction de leur rendement academique. Evalue de maniere continue le rendement academique des etudiants afin de suivre leurs progres et leurs ameliorations.

Decisions relatives au programme d'etudes



Supervise les demandes des etudiants relatives aux decisions reliees au programme d'etudes soumises a l'approbation du vice-doyen, telles que : les demandes de surcharge de cours, les demandes de report d'examen, les transferts de credits, les demandes de programmes d'etudes a l'etranger et d'echange. Effectue la validation des dossiers de convocation afin de s'assurer que toutes les conditions requises pour l'obtention du diplome sont remplies.

Divers



Facilite les nominations aux prix. Informe les etudiants et les candidats de leurs droits et des procedures prevues par le Code de conduite des etudiants (ou des candidats). Agit en tant que ressource experte aupres des membres du corps enseignant qui conseillent les etudiants du CSJ. Se tient au courant des politiques, procedures et pratiques liees aux besoins et services academiques des etudiants, telles que definies par le superviseur. Met et tient a jour les dossiers des etudiants.

Nous recherchons une personne possedant les qualifications suivantes :



Un diplome de premier cycle est requis. Au moins deux ans d'experience dans un environnement administratif postsecondaire sont requis, de preference dans le domaine des services aux etudiants ou des admissions postsecondaires, ainsi que dans l'interpretation et l'application des politiques. Excellentes competences en communication ecrite et orale en francais et en anglais. Experience dans la gestion de documents confidentiels conformement a la Loi sur l'acces a l'information et la protection de la vie privee. Experience avec les technologies utilisees dans les systemes d'administration des dossiers dans un environnement postsecondaire, par exemple PeopleSoft (Campus Solutions), Slate, Academic Advisement Requirements Tool, Alfresco et FreshService. Maitrise de Microsoft Office, Google Suite et des systemes de gestion de fichiers. Capacite a s'adapter a des changements proceduraux continus tout en maintenant une coherence dans un environnement multitache. Competences superieures averees en matiere de service a la clientele et de relations interpersonnelles ; tact, initiative et attitude positive. Capacite a exercer un jugement independant et a gerer des situations difficiles/complexes avec diplomatie et sensibilite. Engagement a contribuer a une culture de confiance, d'efficacite et d'execution.

The position:




Advises students on non-routine queries with respect to the academic program. Provides advice to students on academic decision making such as course selection. Assesses student applications based on policy and procedure in collaboration with CSJ admissions and the Registrar's office (RO). Makes preliminary assessments and recommendations to the Vice Dean - Academic on the satisfying of degree requirements, academic standing, academic deadlines, and the acceptability of exchange and/or transfer credit. May provide advice on academic exchanges or course transfers. May be called on to assess student life issues and refer students to other resources. Escalates issues to supervisor which may affect the success of a student or are outside of decision-making authority.


Select duties include:

Application Assessment



Processes applications for program admission from inquiry to decision stage in consultation with RO, CSJ Admissions and the Vice Dean. Evaluates domestic and international credentials for certain FSJ Programs such as the BEdAD; may be required to calculate Admission Grade Point Average (AGPA) from institutions around the world, converting to the U of A's grading system. Evaluates the records of international applicants to programs, determines students admission eligibility and assigns transfer credits. Develops and maintains a database of international and domestic transfer credit decisions.

Student Advising & Program Management



Advises current and prospective students and staff about university and faculty policies and procedures regarding admission, registration, program planning, program completion, convocation, course withdrawals, academic standing, grades, deferred exams, and the accommodated exam process. Identifies students in need of support based on academic performance and refer them to academic supports. Provides students with information about alternatives, limitations, and possible consequences of academic decisions. Monitors academic progress of students dependent on their Academic Standing. Continues to assess student academic standing toward progression and improvement.

Student Program Decisions



Oversees student submissions of program decisions for Vice Dean approval, such as: course-overload applications, deferred examination applications, transfer credits, requests for student abroad and exchange programs. Completes convocation clearing for graduates to ensure full degree requirements are met.

Miscellaneous



Facilitates award nominations. Advises students and applicants of their rights and processes under the Code of Student (or Applicant) Behavior. Acts as an expert resource to Faculty members who advise students at CSJ. Keeps current regarding policies, procedures and practices related to student academic needs and services as identified by the Supervisor. Updates and maintains student electronic records.

Other duties as required.

We are looking for someone with the following qualifications:



An undergraduate degree is required. A minimum of 2 years' experience in a post-secondary office environment required, preferably within post-secondary student services/admissions and with interpreting and applying policies. Excellent French and English communication skills both written and spoken. Experience managing confidential material in accordance with the Freedom of Information and Protection of Privacy Act. Experience with student administration system technology in a post-secondary environment e.g. PeopleSoft (Campus Solutions), Slate, Academic Advisement Requirements Tool, Alfresco and FreshService. Proficiency in Microsoft Office, Google Suite, and file management systems. Ability to adapt to continuous procedural change while maintaining consistency in a multi-tasking environment is required. Demonstrated superior customer service and interpersonal skills; tact, initiative and a positive attitude. Ability to exercise independent judgment and handle difficult/complex situations with diplomacy and sensitivity Commitment to contributing to a culture of trust, effectiveness and execution.
