Condominium Property Manager

Job Description

We are a self-managed residential condominium building with 88 units in the Beltline neighborhood of Calgary. We are looking for an experienced property manager to join our team. The Property Manager is primarily responsible for all aspects of the day-to-day management of the property in compliance with all applicable legislation. You must also be prepared to perform any range of special projects, tasks and other related duties as assigned to you by the President of the Board of Directors. This position is currently a part-time position working half-days in the building Monday to Friday. On-site parking is provided. Days and hours can be negotiated however you must be available for emergencies in off hours. You must also be available one evening each month for attendance at monthly Board meetings. As an experienced property manager, your knowledge and skills should include: Staff Supervision:

  • Supervising and directing the activities of the concierge, housekeeping and building operations staff
  • Arranging for vacation relief for the employees you manage
  • Hiring and Terminating employees and conducting periodic reviews
  • Preparing job descriptions and preparing front desk manual
  • Consulting with President regarding disciplinary action
  • Reviewing and approving all time sheets submitted by staff for payroll purposes and forwarding them to the accounting department
Contractor Supervision:
  • Ensuring all contractors have provided up to date insurance and WCB certificate before commencement of any work
Owner Liaison
  • Responding in a timely manner to all resident correspondence in a respectful manner
  • Problem solving and decision-making abilities while exercising sound judgment
  • Preparing and distributing notices to residents of social events, building shutdowns and emergency notices
Financial Management:
  • Collecting all fees, fines, and chargebacks from owners
  • Reviewing and preparing all payables and submitting them to the accounting department for processing
  • Preparing invoices to owners for owner chargeback expenses
  • Payroll: Reviewing and approving all time sheets and submitting to the accounting department for processing
Administration:
  • Attending all board meetings and AGM and preparing minutes in a timely manner
  • Reviewing concierge logs and deal with matters noted in the logs
  • Ensuring the database of owners and residents is complete and up to date and remains confidential at all times
  • Negotiating the annual building liability and D&O insurance coverage
  • Overseeing and administering insurance claims with the board, owners, insurers, and adjusters
  • Providing 24-hour back-up emergency service and responding to callouts regarding water leaks, lack of heat or other services or other emergencies which may threaten the integrity of the property or the safety of the residents
  • Maintaining a Dropbox file documents required by s 44 of the Condominium Property Act and ensuring requests from owners for documents are responded to in a timely manner
  • Preparing realtor disclosure documents and estoppel certificates for owners who sell their suites including collection of outstanding fees and fees for providing documents
  • Maintaining all files, records, building plans, drawings, schematics, and warranties
  • Negotiating and managing vendor contracts
  • Maintaining the Owners\xe2\x80\x99 Manual, Property Manager Desk Manual, Concierge Desk Manual and Building Rules and Regulations
  • Ensuring all required inspections such as elevator, boiler, fire system, backflow devices are conducted as required by law and all issues raised are resolved in a timely manner
  • Enforcing the building bylaws and rules and regulations including fines and sanctions
  • Preparing a monthly report to the directors and attendance at monthly Board meetings
  • Reviewing renovation requests for compliance with renovation rules prior to submission to the Board for review
  • Ensuring that no work is done in suites except as approved by the Board and by qualified contractors
  • Negotiating and managing capital projects as assigned by the Board
  • Supporting the Board sub-committees such as social committee, communications committee, building committee and landscape committee
General Building Maintenance
  • Meeting daily with Building Operations staff to review daily tasks as well as new and ongoing projects
  • Reviewing completed and outstanding maintenance work orders to ensure maintenance tasks are performed in a timely manner
To be successful in this position, you must have the following skills and experience
  • Knowledge of Microsoft Office. Knowledge of accounting software and payroll processing software is an asset
  • Knowledge of the requirements of reserve fund studies, bylaws and the Condominium Property Act and Regulations
  • Possess strong verbal and written communication skills and always conduct yourself in a professional manner respecting the requirement to keep information confidential
  • Be a Team player with the ability to work with different personalities with tact and skill

  • Be a self-motivated worker who pays particular attention to detail along with the ability to work in a fast-paced environment where multi-tasking and prioritizing your workload is very important.
