Under the direction of the General Manager and Assistant General Manager, Administrative Assistant is responsible for:

Specific resident services include but not limited to

Assist the management team to provide exceptional resident services by enforcing the implementation of all protocols, polices, procedures, and mandates, etc.
2. Administrative duties include:
i. Create and update documentations
ii. Monitor any implementations and look for improvements.

Responsibilities and duties:
1. Administration
Manages all aspects of Front Desk in areas of staffing, procedures and record keeping.
Assists in maintaining staff and resident files under the direction of the General Manager and Assistant General Manager.
Assists resident Move-in and Move-out processing and all other administrative duties as the need arises.
Ensures that Front Desk staff co-ordinate transportation service efficiently.
Keeps the repair record for all computers, network issues. Files monthly reports as needed and directed by Management Team. Serves as the expert on directory management and IT issues at the site.
Promote the consistency of appropriate aesthetics of residence environments by the day and season.
2. Resident Relations
Works very closely with the General Manager / Assistant General Manager to ensure timely communication and resolution of issues. Informs and involves the General Manager / Assistant General Manager in serious or repeat resident / family incidents. Assist Assistant General Manager to tracks concerns related to independent criteria of residents for resolution by the General Manager / Head Office.
Experience/Qualifications:
Must be knowledgeable and experienced in:
1. Computer programs including word, excel, power point and others as needed.
2. Office set up and record maintenance.
3. Assist management in preparation of invoices and cash management.
4. Assisting with scheduling of staff and payroll duties as required.
5. Experience in the Senior or Hospitality Industry would be an asset.
6. Must be capable of compiling reports, statistics, records and other documents as needed.
7. Must show initiative and be able to work well under limited supervision and within a team setting.
8. Must be able to perform under stressful situations and multi-task.
9. Must be able to handle large volume of incoming calls and switchboard operations.
10. Must be able to assist other departments as required.
11. Must be flexible and adaptable to assist with day-to-day operations
Ability to speak other 2nd language especially Mandarin or Cantonese is a strong asset, please indicate on your resume if you are fluent in another language.
Education:
1. University or college degree in a related field is highly desirable
2. Must have formal training or experience in office administration, concierge, or front desk management.
Hours of Work
: Daytime hour on weekdays, evenings and weekends as required for special events.
