The Compliance Officer position is responsible for the administration of financial need programs, primarily the Ontario Student Assistance Program (OSAP). Accountabilities include receiving, editing, auditing and determining eligibility for applicants of these programs. The Compliance Officer works collaboratively as a team to provide proactive, student focused services in a variety of formats (i.e. in person, telephone, emai). Key Responsibilities:
Administrative and Compliance:
l Ensures compliance with federal and provincial financial aid regulations and policies
l Receives and reviews documents for completeness and accuracy, and ensures they meet the requirements for approval and process
l Keep accurate records, ensuring forms are organized and confidential documents are retained FIPPA standards
l Assists students with completing financial aid applications and documents
l Provides excellent customer service to students, parents, and other stakeholders
l Collaborates with admissions to coordinate financial aid services with student enrollment
Communication & Stakeholder Focus:
l Seeks to make recommendations to resolve challenges,ensuring knowledge is shared with team
l Helps with ongoing training needs of the team on Financial Aid information to ensure their knowledge base is strong and up to date
l Receives and responds to phone, in person, and electronic inquiries regarding a variety of the financial aid solutions
l Communicates with Schools on behalf of individual students seeking third party assistance
l Keep students up to date on the progress of more complex inquiries o Anticipates upcoming needs and concerns and looks for ways to add value beyond immediate request
l Upholds confidentiality and privacy of student information, inquiries and cases
Administration of Funding:
l Prioritizes requests and work to address most pressing concerns first
l Plans and organizes workload within assigned portfolio
l Open to change and quick to adapt for changes out of one's control (e.g. government policies and procedures)
l Monitors quality and timeliness of own work
l Uses available resources in daily work Team Support
l Provides content for weekly team meeting
l Suggests resolution to solve moderately complex problems
l Shares priorities, workloads and back up plans
Job Requirements:
l Diploma or degree in finance, accounting, business administration, or a related field
l Minimum 1 year of experience in financial aid administration, preferably in a post-secondary education setting
l Thorough understanding of federal and provincial financial aid regulations and policies
l Ability to perform intermediate to advance-level tasks using Microsoft Office 365, SharePoint, Google, and other software applications
l Excellent communication and interpersonal skills
l Strong analytical and problem-solving skills
l Ability to work independently and collaboratively in a fast-paced environment
l Attention to detail and accuracy
l Commitment to student success and access to higher education
Assets:
l Experience with Ontario Student Assistance Program (OSAP) and other provincial financial aid programs
l Familiarity with career college regulations and policies in Ontario
l Experience with Salesforce or other customer relationship management (CRM) software
