The Program Assistant plays a key role in supporting the smooth delivery of community programs, volunteer services, and events at Brella Community Services. This position assists with event coordination, volunteer intake and support, and a variety of administrative and front desk duties. The ideal candidate is organized, personable, detail-oriented, and passionate about making a positive impact in the lives of older adults and community members.
Key Responsibilities
Event Support:
Coordinate event registration processes, including data entry and communication with participants.
Make reminder calls to clients before events to ensure attendance and answer questions.
Support the Events Manager in planning, organizing, and implementing events and activities.
Attend events as on-site support, helping with set-up, registration, and logistics.
Volunteer Program Support:
Respond to volunteer inquiries and assist with the intake process, including initial screenings and reference checks.
Help gather and organize necessary documentation for volunteer onboarding and training.
Provide input on volunteer suitability based on interpersonal observations and alignment with organizational needs.
Assist in matching volunteers with clients based on availability, interests, and compatibility.
Administrative and Front Desk Support:
Provide reception support when front desk volunteers are unavailable, including answering phones, greeting walk-in clients, and managing general inquiries.
Assist with general office tasks such as filing, photocopying, preparing materials for programs, and maintaining records.
Support the promotion of programs and events through email, flyers, and social media, as needed.
Qualifications and Required Skills
Education and Experience:
Post-secondary education in social services, community development, event planning and/or experience in a similar administrative, event coordination, or volunteer support role is an asset but we are willing to work with the right candidate.
Skills and Competencies:
Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
Excellent interpersonal and communication skills--both verbal and written.
Comfortable interacting with older adults, volunteers, and individuals from diverse backgrounds in a respectful and inclusive manner.
Proficiency in Microsoft Office (Word, Excel, Outlook) and comfort using online platforms such as Zoom/Teams
Strong attention to detail and accuracy in data entry, scheduling, and record keeping.
Ability to work independently and as part of a collaborative team.
Flexibility to work occasional evenings or weekends for special events.
Additional Assets:
Fluency in a second language is an asset, particularly one spoken by the communities served by the organization.
Valid driver's license and vehicle required. N designation ok.
Understanding of issues affecting older adults, caregivers, and/or equity-deserving populations is considered a strong asset.

Pay: $24.00-$27.05 per hour
