Job Description

The South Georgian Bay Community Health Centre (SGBCHC) provides primary healthcare services with a wide range of other health promotion and community development services under one roof; focusing on the social determinants that impact an individual's health. The SGBCHC provides an integrated model of care by working in partnership with other agencies in the communities it serves. The SGBCHC's programs and services are developed to respond to the specific and diverse needs of the community.

JOB SUMMARY

Reporting to the Operations Manager, the Administrative Assistant/Medical Receptionist provides essential, centralized reception and administrative support across all SGBCHC and satellite offices. This role ensures efficient clinic operations and a friendly, welcoming experience for all clients and visitors, while actively supporting the administrative needs of community programs, including supporting volunteers when required.

Duties and Responsibilities



Provides reception/administrative services for the Health Centre and all its programs Books appointments and communicates with clients. Respond to email, phone & website inquiries including general inquiries, acquiring services for and providing information to the public and other agencies, and inquiries regarding program registration and workshop information Provides intake and registration of new clients and creates and maintains electronic medical records. Assists providers in retrieving consultation notes, diagnostic imaging reports and results from outside providers/clinics/hospitals etc. Supports providers by updating EMR charts through scanning documents, adding in upcoming appointment information, ensuring demographic information is current and updating information as requested Emailing and calling patients to schedule follow up appointments or relay information regarding upcoming appointments both with n the SGBCHC and at other locations, support patients in filling out pre-appointment questionnaires, or retrieving information requested from providers Manages internal and external referrals Manages requests for information and insurance forms; distribution, tracking, invoicing and compilation Provides administrative support (preparation, coordination and communication of community programs) to the Community Program Coordinator when required Provides administrative support to a group of volunteers that support and or lead the community programs and workshops Sources and book meeting rooms or set up for virtual meetings/programs using appropriate virtual platforms (eg ZOOM) , and record meeting minutes when requested Assists in the development, organization and promotion of programs, materials and resources Inputs encounter information for data collection purposes Maintains program database and statistical records, enters data, and prepares data reports as directed, records and input survey data Ability to travel to offsite meetings/workshops to assist the volunteers and/or Community Program Coordinator as required. Provides word processing, photocopying, faxing and filing creation and maintenance for the staff. Protects client confidentiality in accordance with PHIPA and CHC policies Other duties as assigned
JOB REQUIREMENTS

Education:



College Diploma in any relevant subject (Administrative Studies, Health, etc.) or 2 years minimum work experience in an administrative role

Knowledge/Experience:



Knowledge of community health, the model of health and wellbeing and or the social determinants of health Knowledge of other community resources, treatment centres and organizations. Knowledge of and experience in working with marginalized populations and those with mental illness. Good understanding of the roles of other health care professionals and complementary therapies. Computer literacy including experience with an EMR. Experience working with the public Experience in an administrative role Experience in community initiatives and/ or programs, workshops Knowledge of standards, regulations and best practice when working with volunteers

Excellent organizational, time and stress management skills to complete the required tasks; a CHC is a busy environment that can be frequently noisy and interruptive. Ability to be flexible adapting quickly to the changing needs of the SGBCHC programs and operations with a positive attitude. Ability to engage with clients, staff and community partners in a virtual environment using appropriate technology supported by SGBCHC. Acting in accordance with SGBCHC policies and procedures. Strong communication skills in English, both written and verbal Computer literacy Valid Ontario driver's license and use of own vehicle for CHC business when required. Comply with the Occupational Health and Safety Act (OHSA), its regulations and all the CHC health and safety policies and procedures.
Salary Range $18.95 - $23.05/hr

Job type: permanent-time (37.5 hours weekly)
