About WSUC's Community Food Program (CFP):



Wellington Square United Church runs a Community Food Program (CFP) that provides food, along with donated new and used clothing, household goods and hygiene items, on a weekly basis to individuals and families needing support. There is also a gathering place called the Hub that provides additional supports like mental health and medical care, peer support and assistance with obtaining government records. CFP is an inclusive program designed to meet a diverse range of needs, across all ages, while building a caring community.

The Community Food Program (CFP) Assistant Director at Wellington Square United Church (WSUC) will demonstrate a strong commitment to building a community that provides food, relational support and understanding to individuals who are in need, feeling lonely or seeking a sense of belonging. They oversee the recruitment, training, placement, development and management of volunteers, as well as supporting the Program Director with the administration, weekly schedules and running of the CFP program.

Overview of the Position:

The CFP Assistant Director will be the daily communications point person and administrator for the 100+ volunteers currently serving in the Community Food Program. They will provide leadership in the Hub and for the Donation Closet Team. As required, they will recruit, assess and place new volunteers from the community into opportunities that align with their passions, skills and experience. They will ensure volunteers have a Vulnerable Sector police check, along with providing all training necessary to undertake the work. With support of the Director, they will manage and motivate the volunteers in their activities and in fostering positive relationships amongst volunteers and between volunteers and the community served by the program.

General Areas of Responsibilities



Weekly administration of volunteers, providing leadership in the HUB and the Donation Closet, working with health care support and ensuring one-on-one care for those with higher needs.

Specific Responsibilities



Gain firsthand understanding of the responsibilities and program dynamics of the various volunteer roles, as well as develop and build relationships with volunteers. Listen to volunteer ideas and concerns. Check the Donations Closet to ensure critical supplies can be donated for each Friday or that necessary supplies can be purchased. Work with the team to ensure the donations are fairly distributed. Work with the Director to plan and implement donation drives as needed. Provide leadership to the Hub team each Friday, ensuring higher needs participants have appropriate one-to-one care. Connect regularly with the health care providers and Director. Provide a brief weekly summary to the Director of wins, losses and current needs from Friday Program. Update the database of current volunteers ensuring documentation of police checks, required training, contact information, emergency contacts, length of service in program, availability, and more. Track birthdays and various acknowledgements. Create and communicate weekly with volunteers, digitally and in person, including weekly changes, scheduling and more. Check in on absent and sick volunteers extending care and support, particularly for those facing life challenges. Document the various volunteer positions, skills and training needed, brief outline of duties, schedule related to each position (e.g. cook, server, welcome greeter, donation closet, etc). Ensure information is regularly updated throughout the year. Find new volunteers through community networks, social outreach events and social media platforms. Includes promotion of CFP mission and values and benefits of volunteering in various roles. Onboard new volunteers, evaluating their knowledge and experience, ensuring Vulnerable Sector police check is on file. Create training programs ensuring all volunteers understand health and safety, Accessibility for Ontarians Disability Act, as well as CFP mission, policies and values. Provide training shifts alongside longer term volunteers and debrief new volunteers on any questions and concerns. Assess best placement for new volunteers. Schedule them into rotation and check in regularly to provide support and guidance. Help volunteers to work out interpersonal or role-related concerns, in conjunction with the Director of CFP. Develop volunteer policies and procedures, along with volunteer training content in coordination with the Director of CFP. Communicate policies and procedures and ensure procedures are being followed by all volunteers. Develop a volunteer training manual and Code of Conduct in coordination with the Director of CFP. Plan and implement a variety of volunteer thank you events and acknowledgments, such as length of service. Fill in for absent volunteers when necessary. Occasionally cover for the Director of CFP when necessary.

Position Requirements:



Alignment with CFP mission and values Experience in operations or team coordination roles. Experience in and passion for community volunteer roles. Ability to manage computerized database and digital communication (Excel, Teams, Outlook, Google Sheets, Facebook, Instagram) Adaptable to changing conditions and ability to make quick decisions in difficult circumstances. Empathetic, patient, and a good listener.

Please note:

De-escalation training will be provided.

Training in social work, human resources or business administration would be valuable assets in the role.

Hours:

20 hours per week, Monday to Friday, working both remotely (about 7-8 hours) and in person at the church location (About 4 hours Thursday and 7-8 hours on Friday)

Date Required

: Contract Position from January to August 2026 (with possibility of extension)

Hourly Rate:

$25/hour plus 4% vacation pay
