Position Overview

Quantum City under the VP Research invites applications for a Communications and Marketing Advisor. This Full-time Fixed Term position is for approximately 40 months (based on length of grant funding), with the possibility of extension.

Reporting to the Manager, Communications and Public Engagement at Quantum City, the Marketing and Communications Advisor develops and coordinates communications and event plans to support the goals of Quantum City. This includes collaborating with graphic designers, web developers and other specialists to provide creative services to departments within the Vice President, Research department, as well as assessing how Quantum City can communicate with students, industry, partners and recommending improvements where appropriate. This is a generalist position with a broad skill set in marketing and communication and strong knowledge based in event planning, creating effective marketing communication strategies targeted at supporting industry investment. This is a fast-paced role with multiple deadlines, time-sensitive tasks, and high volumes of work, and as such, overtime may be required periodically.

The Marketing and Communications Specialist supports internal and external communication strategies, projects, events, initiatives and publications. This position works to ensure that the marketing and communications message is on brand and consistent with the overall strategy for Quantum City. In supporting Quantum City\'s communication plans and initiatives, this position liaises with external partners such as video production teams and print vendors, and is responsible for coordinating the design and production of Quantum City communications materials (print & web).

The Marketing and Communications Advisor is also responsible for the writing and editing (including gathering facts, planning, researching) of internal and external communication pieces, including print and electronic newsletters as well as submissions to various university publications. Strong technical, communication, leadership, and project management skills are required. Remaining at the forefront of current web and digital publishing technologies, and ensuring awareness of the latest trends and tools is important. The Advisor must develop an awareness and understanding of all Vice President, Research departments and services in order to ensure proper promotion of Quantum City to internal audiences at UCalgary and related external target audiences.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Develop, enhance and implement Community Engagement programs and events to build mutually beneficial relationships with key community partners to enhance the recognition and reputation of Quantum City
  • Responsible for stakeholder/partner identification and relationship management to advance community programs and events and the Quantum City Public Engagement priorities in relation to specific programs identified
  • Event program development (content), implementation (logistics), evaluation and reporting
  • Works closely with the Innovation & Training team to identify event and programming opportunities, plan such events and execute successfully
  • Sourcing and negotiating contracts with external vendors (venue, a/v, transportation etc) in accordance with University of Calgary policies and budget constraints
  • Developing printed materials and e-invites
  • Determining speaker schedules, travel bookings, and accommodation, as well as processing expense claims, speaker fees and honorariums may be required
  • Building and communicating event production schedules and providing onsite leadership during events including supervising volunteers, suppliers and providing direction to venue staff
  • Develops event budgets based on approved spending envelopes, and is accountable to ensure that event spending remains within the constrains set out; adheres to budget processes when costs change
  • In consultation with the Quantum City team, gather and compile information related to various initiatives for distribution through websites, articles, and communications materials
  • Develops communication plans for specific initiatives that engage the Quantum City team and partners from the community (faculty members, postdocs, other administrative units, community partners, industry partners, etc.)
  • Prepares and presents status reports, correspondence and other documentation; provides timely and accurate information and updates to senior leadership
  • Takes photos at events, in real time, in order to promote and share on social media
  • Manage the social media channels for Quantum City with direction from the Manager, Communications & Public Engagement including content calendar coordination, drafting messaging, responding on social media and reporting as needed
  • Write/review ad and social media copy, write video scripts and other marketing content, as per The Canadian Press Stylebook, as well as lead production and report on marketing results
  • Develop and maintain positive, high-trust relationships with other team members and actively participate to ensure the success of the team
  • Work strategically with members of the Quantum City to coordinate and plan schedules to ensure successful alignment with priorities
Qualifications / Requirements:
  • A related university degree
  • 5 years of experience in thecommunications field, particularly around communications planning and implementation with an emphasis on event planning and coordination
  • Expansive, demonstrated understanding of strategic marketing communications including event management, production and evaluation
  • Previous experience with budget management is required
  • Demonstrated excellence in writing, editing and project coordination
  • Experience in producing and working in a variety of communication vehicles aimed at various internal and external audiences
  • Communications experience in a large complex organization is considered an asset
  • Knowledge of post-secondary educational issues
  • Ability to work collaboratively with staff at all levels, and with design, communications and printing services
  • Ability to work to deadlines while managing multiple tasks
  • Ability to work in a fast-paced environment, with constantly shifting priorities
  • Strong attention to detail
  • Strong skills with Microsoft Office applications (Word, Excel, PowerPoint)
  • Experience with Adobe Creative Suite (InDesign, Photoshop, Illustrator) and with a web content management system (CMS) is considered an asset
  • Experience managing social media accounts for medium to large organizations
  • A demonstrated understanding of graphic design principles, as well as some graphic design skills and experience
  • Some understanding and training in video production, with an understanding of Premiere Pro and Adobe After Effects considered an asset
