The Role: Engagement Coaching Coordinator




Be the Human Touchpoint in Every Coaching Journey





At CareerJoy, we believe every coaching experience begins with connection. We're looking for an Engagement Coaching Coordinator to be the heartbeat of our client journey, ensuring newly outplaced clients and coaching program participants feel supported, seen, and empowered from the very first hello to the final wrap-up.



This is a junior-to-mid-level professional role, ideal for someone with the relationship-building strengths of a recruiter, the coordination finesse of a project manager, and the human-first mindset of a coach. You'll work closely with our corporate partners, individual clients, coaches, and internal teams to bring our coaching experiences to life across public, private, and individual settings.



About the Role



Reporting to the Director of Coaching and Culture, you'll serve as the primary point of connection for clients entering CareerJoy coaching programs. Whether you're onboarding a recently outplaced professional or coordinating a full-scale leadership coaching initiative, your role is to nurture every touchpoint in the journey.



You'll introduce clients to their coaches, manage customizations and schedules, follow their progress, and offer thoughtful support at each milestone. You'll also support the coordination of group programs, leadership intensives, and workshop-based learning for corporate clients, always keeping the client experience top of mind.



This high-touch, relationship-focused role is designed for someone who thrives in a fast-paced environment and is energized by helping others feel supported and successful.



What You'll Be Doing



Client Engagement & Journey Coordination


Reach out to newly outplaced individuals to introduce and engage them in the CareerJoy services provided by their employer. Welcome clients with empathy and clarity, helping them understand their coaching options and what to expect Introduce clients to their assigned coaches and coordinate kickoff logistics Track and support the coaching journey from start to finish, including mid-point check-ins and end-of-program follow-ups Respond promptly to client questions or challenges with warmth and professionalism
Gather and act on feedback to continually elevate the client experience





Coaching Program Operations


Manage end-to-end logistics for coaching engagements, including group and individual programs Collaborate with Practice Leads, Client Partners, and internal teams to align expectations and deliverables Maintain accurate, confidential records and workflows in our CRM HubSpot and client tracking tools
Support coach assignments and engagement letters for corporate programs



Relationship Building & Communication


Build meaningful, trust-based relationships with our clients and corporate partners Create personalized and timely communications throughout the coaching experience
Identify opportunities to nurture long-term client loyalty and referrals



Contribution to Culture & Innovation


Bring creative ideas to improve coaching processes, tools, and communication touchpoints
Support internal team collaboration and client reporting
Participate in projects that help Make Work Better for our clients and team


You Bring:


2-5 years of experience in coordination, recruitment, coaching support, HR, or client-facing roles Exceptional verbal and written communication skills in both French and English A natural gift for building relationships in a warm, human way
Strong organizational skills and the ability to manage multiple coaching timelines and client needs
Tech confidence, especially with CRM tools (HubSpot an asset) and virtual platforms like Zoom or MS Teams A problem-solver's mindset, with initiative and attention to detail A genuine interest in people, growth, and making work better
