Position Summary:
As the successful Clinical Support / Administrative Assistant you will support the administrative and operational needs of the clinic, working closely with our front desk team. While you will not be the primary administrator, you will assist with client scheduling, payments, and rescheduling, along with hands-on tasks that help keep our clinic running smoothly. These include laundry, cleaning, restocking supplies, and closing procedures.

As the ideal candidate you have excellent multi-tasking skills and extensive experience working in a fast-paced, accommodating healthcare setting. You have a professional manner on the phone and excellent customer service, organizational, interpersonal and communication skills. You have a keen eye for detail, and sound knowledge of Microsoft Office Word, Windows, and Google Workspace.
Assisting with incoming calls, scheduling, and payments as needed
Supporting our admin team with rescheduling, booking, and ensuring that therapists have full schedules
Greeting and checking in clients when covering the desk
Managing laundry (washing, folding, organizing linens)
Light cleaning duties, including wiping down sinks, cleaning washrooms, vacuuming, emptying garbage, and tidying clinic spaces
Restocking treatment rooms and ensuring supplies are maintained
Managing daily closing procedures
Processing direct billing for insurance (e.g., Blue Cross) with support from lead admin
Coordinating small operational tasks as needed (e.g., assisting with repair/maintenance workers on site)
Qualifications:
Minimum High School Diploma or G.E.D. required
Previous administrative or customer service experience in a healthcare or wellness setting is an asset
Strong multi-tasking, organizational, and communication skills
Comfortable with computers, including Windows, Word, and Google Workspace
Ability to manage competing demands while maintaining professionalism
Reliable, detail-oriented, and comfortable working independently at times
Willingness to assist with hands-on operational tasks (laundry, cleaning, restocking)
The ability to maintain confidentiality is essential
