Job Summary


Chinook ENT Surgeons is seeking a highly skilled and experienced part-time clinical office assistant for the private otolaryngology surgical practice of a new surgeon. The incumbent should be capable of managing routine office administrative tasks including scheduling appointments in clinic, booking operating rooms at Calgary hospitals, managing the surgeon schedule as needed, and interacting with patients. Experience with Accuro EMR and Connect Care are necessary.

The incumbent should be comfortable with observing airway and facial surgical procedures, and must be aware of Body Substance Isolation (BSI) practices including the use of Personal Protective Equipment (PPE) when necessary.

Routine hand hygiene expected in all clinical and office areas. The incumbent will be expected to provide these services in-person, 2-days per week in-clinic, while other administrative tasks can be preformed from a home office when appropriate. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing support to both administrative and clinical staff. This position requires proficiency in managing phone systems, handling electronic medical records, and understanding of medical terminology. The Office Assistant will be the first point of contact for patients and visitors, making excellent communication skills essential.

The Chinook ENT Surgeons clinic hosts surgeons trained in a variety of subspecialities within otolaryngology - head and neck surgery (OHNS). Duties



Returning patient phone calls, scheduling clinic appointments, and booking operating rooms. Maintain and update electronic medical records accurately and efficiently. Assist with front desk operations, including greeting patients and managing appointments. Utilize software such as Epic and Accuro for patient management and record keeping. Assist with minor medical procedures including blood pressure measurement, holding instruments, and otherwise assisting with in-clinic procedures like endoscopy, biopsy, and injections if appropriately credentialed (LPN, HCA, or similar). Provide administrative support to medical staff as needed. Handle patient inquiries with professionalism and compassion, ensuring a positive experience. Collaborate with team members to improve office processes and enhance patient care.

Required Qualifications



If trained as a medical professional, must be in good standing with the regulatory body governing your profession. Priority will be given to candidates with a designation as an LPN, HCA, PCP, EMR, medical device processing technologist, phlebotomist, or similar. Priority will be given to applicants with experience in a surgical environment, experience as a surgical administrative assistant, and experience with Accuro, Ocean, and Connect Care.

Experience



Previous experience in an administrative role within a medical office or surgical setting is preferred. Previous healthcare experience and training, including training in Body Substance Isolation (BSI) practices including the use of Personal Protective Equipment (PPE) when necessary. Familiarity with electronic medical records systems, particularly Epic or Accuro, is highly desirable. Knowledge of medical terminology is beneficial for effective communication within the healthcare environment. Strong organizational skills with attention to detail are essential for maintaining accurate records. Excellent interpersonal skills to interact effectively with patients, staff, and visitors in a professional manner. Applicants are encouraged to receive annual vaccination for Flu and COVID as clientele in the clinic may be receiving treatment for cancer, or have airway pathologies making them vulnerable to infections.
