Clinical Coordinator/ Dental Assistant

Ancaster Family Dentistry is looking for a highly organized, numbers-savvy Clinical Coordinator to keep our clinic running smoothly. This is a leadership role for someone who understands the clinical floor, thrives on optimizing systems, and enjoys being the go-to person who makes sure the day flows--patients cared for, team aligned, inventory stocked, and budgets on track.

What you'll do

Own clinical operations:

Be the point person for day-to-day clinical flow, chair turnover cadence, sterilization room efficiency, room readiness.

Lead IPAC excellence:

Ensure best-practice Infection Prevention & Control (IPAC) protocols are followed and documented; prepare for audits/inspections and keep policies current.

Run budgets & inventory:

Track spend, forecast needs, price-shop, negotiate with vendors, and maintain accurate par levels so the right supplies are on hand without overstock.

Schedule & coordinate:

Optimize provider/assistant/hygiene schedules, coordinate treatment room assignments, and support front team with same-day changes and priority patients.

Coach & support the team:

Provide clear direction to clinical staff (DAs/RDHs), train on systems/standards, and reinforce a culture of safety, efficiency, and patient care.

Own systems & reporting:

Keep practice software and logs accurate (inventory, maintenance, IPAC checklists), generate weekly KPIs (spend vs. budget, utilization, backorders, etc.).
You'll be successful here if you

Have 2-3+ years in a clinical coordination or lead role in a dental setting (strongly preferred). Internationally trained dentists or DAs with leadership experience are welcome. Bring solid dental knowledge (terminology, materials, chairside flow) and can translate it into smooth operations. Are IPAC strong--you know the standards and how to operationalize them day-to-day. Excel with budgets & numbers--comfortable with spreadsheets, tracking spend, and hitting targets. Know how to manage inventory end-to-end--from forecasting to price comparison and vendor management. Are system-savvy and coachable--you pick up new tools quickly and help others follow them. Communicate clearly, stay calm under pressure, and lead by example.
Nice-to-haves

Experience with Abeldent dental practice software ( or Other Canadian Dental Software programs e.g., Dentrix/Tracker/ClearDent) Knowledge of Ontario standards (IPAC, PHIPA, RCDSO expectations) Previous team lead experience over DAs/RDHs/front desk
