Addiction Services Central Ontario is seeking a highly motivated and energetic individual for the position ofClinical Administrator supporting the Toronto Community Crisis Services (TCCS program) team. This position will be supporting other teams, programs and services within ASCO as required.
The Toronto Community Crisis Services (TCCS) program provides support to people experiencing a mental health and/or addiction crisis in northwest Toronto. This program is part of a non-police-led response to people experiencing non-emergency crises. This program aims to reduce the harms experienced by people who have mental health and addictions challenges as well as Black, Indigenous, racialized, LGBTQ2+ and other marginalized individuals. The TCCS is governed in partnership with a Collaborative which includes the following organizations:

Black Health Alliance
Canadian Mental Health Association Toronto
Caribbean African Canadian Social Services
Jane Finch Centre
Rexdale Community Health Centre
Yorktown Family Services
The position to be filled is a Permanent Part-time position, for 21 hours per week (3 shifts), with a minimum of
one evening per week
. Schedule days include: Monday, Tuesday and Wednesday (schedule may change due to operational requirements). Weekend work is also expected (i.e. some Saturdays). The hourly wage rate is $25.21.
This position will be based out of the North York office, and reporting to the Assigned Supervisor.
ASCO is required to follow all public health and provincial directives as well as of those of our Ontario Health Team partners as related to the pandemic and other health issues that may come forward, including but not limited to vaccination requirements.

Duties and Responsibilities include but are not limited to:
Support the Toronto Community Crisis Services team with the clinical and operational needs for the program.
Input and retrieve data and referrals from the agency's data management information systems including voicemail, and other affiliated data management portals such as Catalyst, TREAT, Meditech, PatientVu, SRfax, Digital Front Door and/or Streamlined Access, as required.
Prepare monthly and ad-hoc data reports including monthly program waitlists, client visit data, etc.
Provide support to the Toronto Community Crisis Services program team in the preparation of other materials, reports and presentations, as needed.
Support the Toronto Community Crisis Services program team to ensure accuracy of client records.
Coordinate multiple streams of referrals to the Toronto Community Crisis Services program and manage program wait list.
Collaborate with the Director, Quality Assurance or delegate in the implementation of the Ontario Perception of Care (OPOC) survey and any other client experience survey, to clients and provide the Team Supervisors with results from the surveys.
Collaborate with members of the Toronto Community Crisis Services program team, as approved by the Supervisor, on special clinical projects.
Produce regular reports for the Team Supervisors and/or other members of the Leadership Team, with information obtained from agency's data management systems and affiliated data management portals, as requested.
Coordinate with the Toronto Community Crisis Services program team on a regular basis to ensure client data is accurately reflected across data management systems.
Serve as support to the Quality Improvement Committee, as requested.
Communicate with clients regarding appointment times, consent, and accuracy of client records.
Photocopy letters, reports and program materials as required.
Mail or courier as required.
Collaborate with the Toronto Community Crisis Services program team to improve clinic processes and communication.
Comfortable with using a range of technological platforms to support virtual meetings, trainings, etc.
Ensure daily tasks and responsibilities are conducted with an Anti-Oppression and Anti-Racism (AOAR) framework and through an AO/AR lens.
Attend regular Toronto Community Crisis Services program team meetings and take minutes, provide updates on special projects assigned and other related administrative duties.
Actively participate in regular individual supervision with immediate supervisor.
Contribute to a team environment, participates in all team meetings and events
Embrace change, seek opportunities and make suggestions to improve processes
Perform other duties and responsibilities as assigned.
Qualifications
Community College Diploma, Bachelor's degree preferred and relevant work experience
A working knowledge of data management systems (Catalyst, TREAT preferred) is considered an asset
Willingness to learn new platforms, technologies and skills
Sound knowledge, awareness and understanding of anti-oppression and anti-racism (AOAR) practice
Knowledge of health records management an asset
Familiarity with databases, including any mandated databases and data entry
Excellent knowledge of general office procedures
Proficient in Microsoft Office Suite
Intermediate to advanced knowledge of Excel
Excellent organizational and administrative skills
Excellent English communication skills, both verbal and written
The ability to provide services in French and any additional languages a definite asset
Other requirements
A valid driver's license and access to an insured vehicle
A successful Police Vulnerable Sector Check, as per agency policy and procedures
