Clinic Manager/personal Assistant

Job Description

We are seeking a highly organized and reliable Clinic Manager/Personal Assistant to provide administrative support to our team. This person will be responsible for managing schedules, coordinating appointments, and assisting with various tasks to ensure smooth operations of the clinic. The ideal candidate will have excellent communication skills, attention to detail, and the ability to multitask effectively.

Duties:



Manage calendars and schedule appointments

Plan and book travel arrangements, including flights, accommodations, and detailed itineraries for business and personal trips

Prepare and edit correspondence, reports, and presentations

Conduct research and compile data as needed

Assist with planning and organizing events

Handle confidential information with discretion

Perform general administrative tasks such as filing, scanning, and organizing documents

Act as a point of contact between executives, employees, clients, and vendors

Provide exceptional customer service to internal and external stakeholders

Manage daily dog routines including feeding while at the clinic

Communicate and manage directly with the accountant and bookkeeper regarding personal and corporate tax matters.

Must love and comfortable taking care of a dog (Small)

Personal Assistance (CEO)



Manage daily schedule, appointments, and reminders to ensure smooth time management

Coordinate meetings, events, and travel logistics with attention to detail

Maintain filing systems (digital + physical) and ensure documents are easily accessible for the CEO

Anticipate upcoming needs, deadlines, and priorities to proactively support efficiency

Schedule and track vet and grooming appointments

Take dog to appointments

Maintain stock of food, treats, and care supplies

Provide in-home care for the CEO's dogs during travel periods

Run errands for CEO as needed

Requirements:



Previous experience as a Personal Assistant or in a similar role preferred

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

Strong organizational skills and attention to detail

Excellent written and verbal communication skills

Ability to prioritize tasks and meet deadlines

Professional demeanour with the ability to maintain confidentiality

Skills:



Flexibility and Reliability Budgeting: Ability to manage budgets and financial resources Computer knowledge

Salary:


Annual Salary ranges from $42,000 - $47,000
Paid time off of clinic while CEO is away (average 4 weeks per year)
$750CAD per year towards treatments with Alla

Pay: $42,000.00-$47,000.00 per year
