We are an emerging, physician-led functional medicine start-up clinic in Richmond Hill committed to holistic, evidence-informed care. Our clinic blends conventional medicine with integrative therapies such as regenerative injections, IV infusions, neurotherapy, and lifestyle medicine to address the root causes of chronic conditions.
Summary
We're looking for a dynamic and experienced Clinic Manager to lead the day-to-day operations of our clinic and help build our systems from the ground up. This is a full-time, contract position ideal for someone with 3-5 years of relevant experience who thrives in fast-paced, start-up environments.
You'll play a critical role in creating and implementing the clinic's policies, procedures, workflows, and operational infrastructure, while ensuring a consistently exceptional patient experience.
Responsibilities:
Operations & Workflow Management
Oversee day-to-day clinical and administrative operations
Design and implement operational workflows, checklists, and SOPs
Coordinate patient scheduling, intake, treatment flow, and follow-ups
Leadership & Team Coordination
Recruit, onboard, and train front-desk or support staff as needed
Lead team meetings, foster a collaborative and efficient work culture
Patient Experience & Clinical Support
Ensure a warm, organized, and professional atmosphere for all patients
Handle escalated patient concerns and maintain high service standards
Support the delivery of functional and regenerative therapies (training provided)
Administrative & Compliance
Manage inventory, supplies, vendor relationships, and equipment
Maintain patient confidentiality and ensure compliance with healthcare regulations
Create documentation systems for informed consent, safety protocols, and quality control
Strategic Growth Support
Assist with new program launches, clinic marketing coordination, and business development tasks
Generate operational reports and identify areas for efficiency and improvement
Requirements
Experience:
3-5 years of direct functional medicine clinical and management experience.
Start-Up Ready:
Demonstrated ability to build workflows, systems, and procedures from scratch
Technology:
Comfortable using EMRs and practice management systems
Soft Skills:
Strong interpersonal communication, problem-solving, and adaptability
Education:
Diploma or degree in Healthcare Administration, Nursing, or related field
Leadership:
Proven ability to lead teams and cultivate high-performance work environments
