POSITION SUMMARY
The Client Services Representative processes applications for existing groups and changes for members. The incumbent will handle client queries and correspondence, follow up on past due accounts for life groups, ensure that all Life administration and billing procedures are properly followed, and production standards are met.
DUTIES AND RESPONSIBILITIES
Ensure that applications are completed correctly and that all required information has been provided.
Process Group Life, Health and Dental applications, changes and terminations on the system, ensuring that all enrollment procedures are properly followed, and production standards are met.
Review and process enrollment or change data received in Electronic Enrollment file.
Collects relevant data for unusual enrollment situations by pulling Group Agreements and/or calling group administrators or members to obtain additional information.
Liaise and mediate with Group Underwriting any requests for enrollment or change exceptions outside of the Group Agreement.
Liaise with Medical Underwriting representative regarding late applications and excess amounts of insurance.
Calculate and process payments for Self-Administered client remittances.
Review, reconcile, and process payments for Self-Billed client remittances, identifying discrepancies, and following up with client/advisor as needed.
Run deduction files; review discrepancy deduction reports and submit any applicable Discrepancy Adjustments to Financial Analyst. Contact client to advise of any unexplainable errors and correct as needed.
Follows up with returned payments and past due accounts for assigned clients.
Liaise with Case Management regarding discrepancies and employee eligibility.
Confirm member employment status post disability claim, and apply appropriate procedures per the Group Agreement.
Requests, processes, and reviews discrepancies required for annual salary verification process prior to client renewal date.
Responds to telephone inquiries and email correspondence relating to enrollment, eligibility and billing in an efficient and professional manner.
Resolving billing discrepancies.
Acts as intermediary between Group Sales and Clients/Advisors.
Review Life reports for errors/discrepancies and make required adjustments.
Process and maintain group's pre-authorized debit and member's direct deposit information.
Forwards coordination of benefit information to appropriate department.
Produce and mail/email required client letters to members, clients and/or advisors, ensuring data is shared in a secure and confidential manner.
Produce reports as requested for clients and advisors, ensuring data is shared in a secure and confidential manner.
Review first bill for new Life clients, ensuring correct rates and formulas are reflected.
Updates and maintains procedures in Confluence.
Ensure Life documentation is maintained in a secure and confidential manner.
Identifies opportunities for process efficiency improvements and recommends process changes.
Provides backup and assists other Client Services Representatives.
Prepares cash vouchers for payments received without payment statement form.
Attends, prepares for and participates in scheduled meeting with both internal and external customers.
Other related duties as assigned.
QUALIFICATIONS AND SKILLS
College Diploma in Business Administration or an equivalent combination of education and 1-3 years related experience.
Above average verbal and written communication skills.
Previous administrative experience an asset.
High attention to details and accuracy.
Dedicated to the principles of exceptional service, committed to responding to, anticipating, and addressing customer needs, for both internal and external customers.
Excellent interpersonal skills with a demonstrated ability to deal with all levels within the organization in a team environment and external customers.
Self-directed, with exceptional organizational skills and a proven record of managing and prioritizing multiple tasks within varied and dynamic timelines on an ongoing basis.
Thorough knowledge of office productivity tools including Microsoft Word, Excel, Outlook and various reporting and database applications.
Capable of completing industry education programs entailing self-directed study and the writing of graded examinations. Specific programs include but are not limited to LOMA, CEBS, and ICA. Discipline-specific study may be required in areas such as accounting, credit management, communication, etc. Enrollment in, and completion of, such courses will be encouraged.
