is seeking a dedicated and organized

Client Relations Coordinator / Admin Assistant

to join our team. This dual-role is crucial to our daily operations, focusing on client onboarding, scheduling, inventory management, and providing exceptional customer service. The ideal candidate will be an excellent communicator who can manage multiple tasks efficiently and serve as a key point of contact for our clients.

Position Overview



Compensation:

$25 per hour

Hours:

This is a part-time position with a starting availability of 15-25 hours per week, with the potential for full-time hours. Start time between 9:00-9:30 AM, with an end time between 3:30-6:30 PM, based on company needs and employee availability.

Work Location:

This role is primarily based on-site at our Burlington clinic, with a potential for a hybrid work arrangement. The specific details will be discussed during the interview and will be based on the candidate's experience and the needs of the role.

Key Responsibilities



Scheduling and Planning:

Execute the

client onboarding process

by inputting new client schedules as provided by the clinical management team. Manage and update the daily schedules for existing clients as necessary.

Client Communication and Customer Service:

Serve as the

primary contact for new clients

after their initial schedule has been created. Send introductory emails to new clients once their team and start date have been confirmed by the Clinic Office Manager. Follow up with potential clients after their initial intake appointment (tour or virtual) to provide necessary registration forms. Answer and direct phone calls and respond to general client inquiries as required.

Inventory Management:

Oversee the clinic's inventory to identify items that are running low. Execute

monthly supply orders

based on the approved order list from the Clinic Office Manager.

Qualifications



Previous administrative and customer service experience is preferred. Strong organizational skills and attention to detail. Excellent written and verbal communication skills. Adaptability and flexibility to prioritize tasks and meet deadlines in a dynamic work environment. Proficiency with scheduling software and office management tools. Ability to work independently and manage time effectively.
