We are seeking a
Client Care Coordinator
who is organized, empathetic, and thrives in a fast-paced, purpose-driven environment. This role is at the heart of Mount Etna's client experience--ensuring families feel welcomed, informed, and supported from their first point of contact through every stage of service.
Whether coordinating intake meetings, communicating with clinicians and caregivers, or helping manage day-to-day clinic operations, you'll play an essential role in ensuring that our families receive seamless, high-quality care and that our clinicians can focus on what they do best: supporting children.
Your Responsibilities:
Serve as the primary point of contact for new and existing families, providing compassionate and timely communication.
Coordinate client intakes, assessments, and onboarding with clinical supervisors and administrative staff.
Maintain accurate schedules, records, and billing information within
JaneApp
and related systems.
Support clinicians with session logistics, documentation follow-ups, and scheduling adjustments.
Track client caseloads and ensure appropriate distribution across Scarborough, Oshawa, and Bowmanville teams.
Communicate updates, cancellations, and important reminders to families and clinicians in a professional and family-friendly manner.
Assist with community outreach, event coordination, and marketing initiatives to support ongoing program growth.
Uphold confidentiality, professional ethics, and a family-centered approach in all communications and operations.
What You Bring:
Post-secondary education in
social services, psychology, child development, health administration, or related field
Experience in a
clinic, healthcare, or social services setting
(experience in ABA, SLP, or OT settings an asset)
Strong organizational, communication, and multitasking skills
Proficiency with
JaneApp, Google Workspace, and Microsoft Office Suite
Compassionate communication style and commitment to serving neurodivergent families
Ability to work collaboratively with clinicians, caregivers, and community partners
Professionalism, discretion, and a proactive approach to solving day-to-day challenges

Pay: $43,000.00-$54,000.00 per year
