We are seeking a Client Care Coordinator to be the first point of contact for our clients and to support smooth clinic operations. You will play a vital role in delivering outstanding customer service, coordinating appointments, managing front-desk administration, and ensuring every client feels valued throughout their hearing care journey.

What You'll Do



As our Client Care Coordinator, your daily responsibilities will include:

Client Interactions & Front Desk



Greet clients with a warm, professional demeanor and create positive first impressions.

Answer phone calls, respond to email and text inquiries promptly and professionally.

Schedule, confirm, and reschedule appointments with accuracy and attention to detail.

Provide general information about services, hearing device options, billing, and insurance where applicable.

Administrative & Operations Support



Maintain accurate client records and database entries.

Process payments and assist with billing tasks.

Assist with inventory management (hearing aid supplies and clinic materials).

Prepare and send clinical reports, handle mail and fax communications.

Team Collaboration



Communicate effectively with audiologists, clinicians, and other team members to support clinic flow.

Help maintain a clean, welcoming reception area.

What We're Looking For

- Strong customer service skills with a positive, client-focused attitude. - Excellent verbal and written communication skills. - Proficiency with computer systems, scheduling software and Microsoft Office applications.

- Friendly, compassionate personality - Able to build rapport with clients of all ages. - Highly organized with strong attention to detail and the ability to multitask in a fast-paced environment. - Dependable, professional, and able to work independently as well as part of a team. - Problem-solving skills and the ability to stay calm under pressure.

Assets (Nice to have but not essential)

Experience with third-party billing/insurance, hearing aid product knowledge, or basic audiology terminology. Additional language skills (e.g., ASL) to support client communication.

Must be flexible with work schedule from time to time -- willing to accommodate extra work hours and possible weekend shifts.
