About the Role
As a
Client Care Associate (CCA)
, you are the first and last impression of the RushCycle experience. You're not just welcoming clients--you're creating a seamless, personalized, and engaging journey from the moment they walk in (or message us) to well after class ends. You'll be responsible for maintaining high standards of hospitality, sales support, and client communication, while keeping our front-of-house operations running smoothly.
Key ResponsibilitiesClient Experience & Studio Support
Warmly greet all clients, learn names and preferences, and provide exceptional in-studio service.
Set up new client profiles, ensure waivers are signed, and give first-time visitors a tour of the studio.
Check in clients for class and set up Greenstars on bikes (including cleat check, locker reset, etc.).
Track attendance, birthdays, milestones, and special guests to prep coaches and personalize client experiences.
Monitor ClassPass and Greenstar bookings and ensure proper studio protocols are followed.
Provide studio information clearly and proactively to all new clients (arrival time, shoe rentals, etc.).
Ensure payment for all merchandise is completed before class.
Communication & Sales
Answer emails, phone calls, texts, and DMs promptly and professionally, always signing off with your name and the studio's signature.
Manage the studio inbox, respond to inquiries within 24 hours, and follow up via Xplorgrowth.
Contact next-day Greenstars to confirm attendance and provide location and prep details.
Upsell intro offers into packs or memberships based on client needs and goals.
Track leads, trial weeks, and follow-up cycles through Xplorgrowth and MarianaTek.
Monitor at-risk clients and take proactive steps to re-engage them.
Explain RushCycle benefits compared to ClassPass, emphasizing flexible cancellations, lower fees, and priority booking.
Account Management
Convert all CP users in MarianaTek and ensure they are opted in for email/text alerts.
Tag and update client accounts (e.g., military, CP, second class used).
Complete client profiles with missing details (phone number, birthday, emergency contact, shoe size).
Leave detailed notes after every client call or follow-up.
Administrative & Operational Tasks
Ensure the front desk area is clean, organized, and fully stocked.
Confirm the studio laptop is plugged in and functional.
Support coaches by prepping class rosters and sharing relevant client notes.
Assist in organizing and executing promotions, events, and community engagement initiatives.
Gather feedback from clients and share relevant insights with the team.
Film content for studio promotion or internal use as needed.
Fill and submit daily Greenstar reports.
