Le Fonds d'aide de l'Ouest-de-l'Ile est un organisme communautaire sans but lucratif base a Montreal, qui exploite une banque alimentaire au service des individus et des familles vivant l'insecurite alimentaire. Notre mission est d'offrir un soutien respectueux, inclusif et efficace aux personnes dans le besoin. Nous sommes actuellement a la recherche d'un(e) receptionniste / adjoint(e) administratif(ve) junior devoue(e) et organise(e) pour se joindre a notre equipe et agir comme personne-ressource aupres de nos clients, benevoles et visiteurs.

Le ou la receptionniste / adjoint(e) administratif(ve) junior est responsable d'assurer un accueil chaleureux a la reception et de fournir un soutien administratif pour garantir le bon fonctionnement de la banque alimentaire. Cette personne doit etre professionnelle, compatissante, soucieuse du detail et capable de gerer plusieurs taches dans un environnement communautaire dynamique.

Responsabilites principales

o Accueillir et assister les clients, visiteurs, benevoles et donateurs en personne et au telephoneo o Repondre aux demandes de renseignements et fournir des informations precises sur les programmes et serviceso o Planifier les rendez-vous et maintenir les dossiers clients et les donnees d'inscriptiono o Offrir un soutien administratif a l'equipe de direction (saisie de donnees, classement, correspondance, etc.)o o Surveiller l'inventaire des fournitures de bureau et effectuer les commandes au besoino o Aider a la coordination des benevoles et a la logistique des programmeso o Soutenir la preparation d'evenements et les initiatives de sensibilisationo o Maintenir une aire de reception propre, organisee et accueillanteo o Assurer la confidentialite et le respect dans toutes les interactions avec les clients
Qualifications

o Diplome d'etudes secondaires ou equivalent; une formation ou des etudes supplementaires en administration sont un atouto o 1 a 2 ans d'experience dans un role de reception ou d'administration, idealement dans un milieu communautaire ou a but non lucratifo o Excellentes aptitudes en communication et en relations interpersonnelles (bilinguisme francais et anglais prefere)o o Solides competences en organisation et en gestion du tempso o A l'aise de travailler avec des populations diversifiees dans un environnement dynamiqueo o Maitrise de la suite Microsoft Office (Word, Excel, Outlook) et de bases de donnees ou systemes CRM de baseo o Personne compatissante, fiable, adaptable et axee sur le travail d'equipe

About Us

The West Island Assistance fund is a community-based non-profit organization with a food bank serving individuals and families experiencing food insecurity in Montreal. Our mission is to provide respectful, inclusive, and effective support to those in need. We are currently seeking a dedicated and organized Receptionist / Junior Administrator to join our team and serve as a key point of contact for our clients, volunteers, and visitors.

Position Summary

The Receptionist / Junior Administrator is responsible for creating a welcoming environment at the front desk and providing administrative support to ensure the smooth operation of the food bank. This individual must be professional, compassionate, detail-oriented, and able to manage multiple tasks in a dynamic, community-focused setting.

Key Responsibilities

Greet and assist clients, visitors, volunteers, and donors in person and by phone

Respond to inquiries and provide accurate information about programs and services

Schedule appointments and maintain client records and intake data

Provide administrative support to the management team (data entry, filing, correspondence, etc.)

Monitor inventory of office supplies and place orders as needed

Assist with the coordination of volunteers and program logistics

Support event preparation and outreach initiatives

Maintain a clean, organized, and welcoming reception area

Ensure confidentiality and respect in all client interactions

Qualifications

High school diploma or equivalent; additional administrative training or education is an asset

1-2 years of experience in a receptionist or administrative role, preferably in a community or nonprofit setting

Excellent communication and interpersonal skills (bilingual in French and English preferred)

Strong organizational and time management abilities

Comfortable working with diverse populations in a fast-paced environment

Proficient with Microsoft Office (Word, Excel, Outlook) and basic database or CRM systems

Compassionate, reliable, and adaptable team player

Assets

Experience working in a food bank or social service organization

Knowledge of local community resources

Experience working with volunteers
