This position works in the Building organizational unit. This is moderately complex clerical and typing work involving supervisory tasks and/or independent typing and clerical duties. When not acting as supervisor, the incumbent types and produces a variety of materials such as correspondence, records, reports and agendas, reviews content of the materials, maintains and supervises the preparation, processing and maintenance of a large volume of documents; sorts and distributes correspondences, checks a variety of receipts, cheques, invoices and maintains related records; compiles and condenses data from a variety of sources requiring an understanding of problems and terminology involved; devises forms, sets up moderately complex statistical tables and assists in the preparation of routine reports; acts as a receptionist, answers questions over the telephone and in person; explains and interprets moderately complex departmental rules, regulations and procedures to public enquiries. The complexity of the work may involve some initiative in planning the sequence of duties and the work methods to be employed. Where supervisory factor is present, the role is responsible for assigning and reviewing for quality and quantity the work of one or more subordinates engaged in routine clerical tasks. This is distinguished from that of a Clerk Typist 2 by the greater difficulty and complexity and/or the added supervisory responsibilities. Difficult or unusual problems are referred to a supervisor. Detailed oral and written instructions on initial and new assignments are received from a supervisor who checks the work for accuracy and completeness and makes a general evaluation in terms of the standards desired. Performs related work as required.


Qualifications include the completion of high school graduation including or supplemented by courses in typewriting, word processing and standard commercial subjects and considerable experience as a Clerk Typist 2; OR an equivalent combination of training and experience. Thorough knowledge of business English, spelling, punctuation, and arithmetic. Considerable knowledge of modern office practices and procedures. Sound knowledge of the applicable rules, regulations, policies and procedures which govern departmental activities. Ability to produce moderately complex statements, reports, lists and documents; to prepare, process and maintain a variety of permits, license applications and related materials; to successfully meet and effectively deal with the public in interpreting and explaining departmental rules and regulations; to make moderately complex computations and tabulations. Skill in the operation of common office appliances, and typing rapidly and accurately.
