Job Summary
The Clerk IV serves in a confidential capacity as an administrative assistant and the first point of contact for individuals who contact Client Relations through our email or telephone line. This position is responsible to check for inquiries multiple times a day and enter the required information in the Client Relations Complaints Module; follow up with individuals who contact the CRO within the timelines specified in our policy; obtain the necessary client identifiers and determine if additional consent discussions are required. When a client inquiry requires follow up from an Eastern Health manager, the CRO Clerk IV will assign the case to the appropriate manager in the Client Relations Complaints Module. They are also responsible for obtaining information for the completion of a variety of reports; meeting minutes as requested; and are accountable for providing back-up administrative coverage for the other two administrative clerks within the department, and other related duties as required. While the position reports administratively to the Director, Quality, Patient Safety and Risk Management, the Clerk IV works closely and receives guidance in the day-to-day work tasks from the Regional Client Relations Consultant to ensure the efficient implementation of Client Relations operations within the organization.

Constantly required to use fine/finger precision work while entering/maintaining data, as well as a constant requirement for eye/hand coordination to ensure precision in completing work and maintaining database files. Regularly requires bilateral repetitive fine motor skills (i.e. typing and mousing) while entering/maintaining data, as well as a constant requirement for eye/hand coordination to ensure precision in completing work and maintaining database files.

Job Qualifications

Education
Graduation from high school or equivalent.
Successful completion of a two-year Office/Business Administration Program from a recognized/approved college.

Experience
A minimum of three years' experience within the last five in a progressively responsible administrative role is required.

Competencies (Knowledge, Skills & Abilities)
Demonstrated proficiency in the use of Microsoft Office Suite, outlook calendar and internet.
Demonstrated knowledge of Meditech would be an asset.
Demonstrated ability to assist others who may experience stress.
Demonstrated ability to provide quality work in a timely manner
Demonstrated strong organizational and communication skills.
Demonstrated effective problem solving and analytical skills.
Proven ability to work with limited supervision in a dynamic work environment.
Demonstrated ability to work effectively within a deadline driven, team-orientated environment.
