Position Overview
We are currently seeking a highly organized and detail-oriented
Claims Administrative Assistant
to join our team who will support the Claims team with a variety of administrative tasks to ensure the efficient handling, tracking, and processing of vehicle damage claims. This role involves regular communication with internal departments, OEMs, terminals, and external vendors, as well as attention to detail and the ability to manage multiple priorities.
Key Responsibilities
Organize and manage incoming claim documentation from OEMs, drivers, terminals, dealerships, and other stakeholders.
Maintain a weekly spreadsheet of all incoming claims and distribute to terminal representatives for follow-up.
Follow up with terminals to ensure timely responses and updates on outstanding claims.
Review claim documentation for completeness and accuracy, ensuring alignment with individual OEM rules and requirements.
Print, scan, and distribute weekly claims packages; ensure that Magnus is updated with accurate customer numbers to assist the accounting team.
Review claim notifications from Ford (deGould), update Magnus accordingly, and assess damage claims using AIAG guidelines to determine whether damage was noted at pickup.
Participate in special projects, which may account for 30% or more of daily responsibilities.
Perform other administrative or support duties as assigned by management.
What You Bring to the Role
High school diploma or equivalent required
Administrative experience, preferably in a transportation, logistics, or automotive claims environment.
Strong organizational and time management skills.
Proficient in Microsoft Excel and other Microsoft Office applications.
Detail-oriented with the ability to review and interpret documentation accurately.
Comfortable working independently and as part of a collaborative team.
Familiarity with AIAG guidelines and/or OEM processes is an asset.
Typing speed of 50 words per minute or higher.
