Chief of Staff to the Chairman

to provide high-level strategic, operational, and administrative support.

Position Overview



The

Chief of Staff to the Chairman

plays a critical role in ensuring the Chairman's priorities and business objectives are met efficiently. This role involves a combination of

executive advisory, corporate governance, project management, and high-level administrative support

. The ideal candidate will be a strategic thinker, an effective communicator, and highly organized, with strong experience in executive support, corporate governance, and business operations.

Key Responsibilities:



Executive & Strategic Support



Act as a

trusted advisor

to the Chairman, ensuring alignment between corporate priorities and daily activities. Provide

strategic input and decision support

, conducting research and preparing executive reports, presentations, and briefing materials. Manage the Chairman's

calendar, travel arrangements, and high-level correspondence

, ensuring seamless scheduling and coordination. Serve as a

liaison

between the Chairman and internal teams, external stakeholders, and strategic partners.

Corporate Governance & Compliance



Assist in

corporate secretary functions

, including preparing board meeting agendas, minutes, and maintaining corporate records. Support regulatory and compliance activities, ensuring all corporate governance documents are up-to-date. Coordinate with legal and finance teams on

corporate filings, agreements, and confidential documents

.

Operational & Project Management



Drive the execution of key

strategic initiatives

, working cross-functionally to track progress and ensure successful implementation. Oversee special projects and corporate programs, ensuring alignment with company goals. Develop and maintain

performance dashboards, KPIs, and reporting mechanisms

for leadership visibility.

Communication & Stakeholder Engagement



Draft and review

important communications, speeches, and reports

for the Chairman. Represent the Chairman in meetings with investors, business partners, and industry stakeholders when required. Ensure smooth internal and external communication by handling sensitive and confidential information with discretion.

Qualifications & Skills



Education:

Bachelor's degree in Business Administration, Law, Public Policy, or a related field. MBA or Corporate Secretary certification is an asset.

Experience:

Minimum

7+ years of experience

in an executive assistant, chief of staff, corporate secretary, or similar strategic support role. Experience in corporate governance is a strong asset.

Language Requirement:

Fluency in Mandarin and English

(both written and spoken) is required to support international business communication.

Executive Support & Corporate Governance:

Strong understanding of

corporate structures, board governance, and regulatory compliance

.

Project Management:

Ability to

plan, execute, and monitor high-level initiatives

with strong attention to detail.

Communication:

Exceptional written and verbal communication skills, with experience drafting corporate reports and presentations.

Discretion & Confidentiality:

Ability to handle

sensitive business and financial information

with the utmost professionalism.

Problem-Solving:

Strong analytical skills and a solution-oriented mindset.

Adaptability:

Comfortable in a fast-paced, high-pressure environment with shifting priorities.

Preferred Certifications (Not Required but an Asset)



Chartered Governance Professional (CGP) / Chartered Secretary (CS)

- Recognized for governance, compliance, and board administration.

Certified Public Accountant (CPA)

- Beneficial for financial oversight and risk management.

Certified In-House Counsel (CIC.C)

- Valuable for legal and regulatory advisory responsibilities.
