The Charity Coordinator will be responsible for helping to manage the Hamilton Chapter of Holiday Helpers. This includes servicing internal and external clients alike with the highest level of customer service and organizing the volunteer warehouse. The incumbent will mainly coordinate all donor and family communication. This position is a part time position working approximately 20 -30 hours per week. It is seasonal during the months of October to December. There are evening hours in October and November required and overtime maybe required in the month of December.
Responsibilities and Duties relate to the following, but not limited to:
- Ongoing liaison by phone and email with families regarding their wishlist requests and clarification of sizes, likes and needs.
- Ongoing liaison by phone and email with donors who have sponsored families, including managing expectations and answering any enquiries.
- Ongoing liaison with donors to confirm their donation and arrange drop-off location and date.
- Work with the Holiday Helpers database to pull data and reports and ongoing updates in the system.
- Work in the warehouse to assist with volunteers and getting packages wrapped and to families (1 weekend in December)
- Maintain a safe working environment as required by the Organization and OHSA.
- Support the team with updates on timelines and deadlines to meet the organization's objectives.
- Help with training new Holiday Helper volunteers, where applicable.
- Other duties as assigned
Works within the policies, procedures and regulations as required by the Company and under the Occupations Health and Safety Act.
Qualifications:
- 1-2 years office/warehouse experience.
- Demonstrated customer service and relationship skills.
- Post-Secondary Education in Office/Business Administration considered an asset.
- Proficient with MS Office (Outlook, Excel, Word).
- Strong communication skills, patient, respectful and compassionate with our recipient families.
- Excellent organizational skills with the ability to multitask and attention to detail
- Must be willing to travel to Etobicoke periodically for in-person training
- High work ethic and commitment, positive attitude
- Loves Christmas is an asset
Physical and Psychological Working Conditions/Requirements:
- Requires concentrated time and focus on a computer screen for long periods
- Job requires ability to sit/stand for extended periods of time
- Ability to manage client expectations and potentially deal with conflict
- Ability to lift up to 50lbs
- Ability to work in a warehouse and office environment
- Valid Driver's License and confidence in driving ability
- Vehicle an asset
