Position Summary
The Catering Sales Coordinator is responsible for managing incoming catering inquiries, assisting clients with menu selection, preparing proposals and event orders, and coordinating logistics between the kitchen, sales, and operations teams. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple events and client relationships in a fast-paced catering environment.
The ideal candidate thrives in both administrative and client-facing settings -- ensuring every guest receives prompt, professional, and personalized service from first contact through event completion.
Key Responsibilities
1. Sales Support & Client Relations
Respond promptly to all catering inquiries via email, phone, and online forms.
Guide clients through menu options, event packages, and customizations.
Prepare professional catering proposals, quotes, and event confirmations.
Follow up with clients to close sales and secure deposits.
Maintain a friendly and knowledgeable presence as the first point of contact for new clients.
2. Event Coordination
Work closely with kitchen and operations teams to ensure all event details are communicated accurately.
Prepare event sheets, Proposals and packing lists.
Confirm guest counts, menu changes, delivery times, and staffing requirements.
Assist in coordinating rentals, decor, and additional client requests.
Support on-site event coordination during busy periods or major events.
3. Administrative & Financial Tasks
Maintain up-to-date client records and event files in CRM software or internal systems.
Track payments, deposits, and final balances; assist with invoicing and collection follow-ups.
Prepare weekly sales reports and pipeline updates for management.
Help maintain accurate costing and pricing templates for menus and event packages.
4. Marketing & Business Development
Support social media or marketing initiatives by providing photos, testimonials, and event highlights.
Assist with seasonal menu launches, promotional campaigns, and client appreciation events.
Attend trade shows, open houses, or client tastings when required.
Identify repeat business opportunities and maintain relationships with corporate clients.
Qualifications
2-4 years of experience in catering, hospitality, or event sales coordination.
Strong communication and customer service skills (verbal, written, and professional email tone).
Proficiency in Microsoft Office, Google Workspace, or CRM software (e.g., MarketMan, MarginEdge, or Caterease experience is an asset).
Ability to multitask and work under tight deadlines.
Strong organizational skills and attention to detail.
Food and beverage knowledge, including catering operations, menus, and logistics.
Flexible availability including some evenings/weekends during peak event season.

Pay: $22.00-$25.00 per hour
