The Position Reporting to the Assistant Director, Campus Services, the Box Office & Campus Services Coordinator is responsible for the daily administration, and operation of the Campus Services office and the associated services, including Box Office, guest accommodations and UStores. The Coordinator supports the administrative functions in the Campus Services Department. Please note that this is a Temporary / FT role Responsibilities

  • Box office and front desk operations, including cash-handling responsibilities, setting up events in the ticketing system, ticket sales transactions, and a good working knowledge of current and upcoming events.
  • Coordinates the daily operation of the Campus Services front desk operations and maintains a high level of customer service and ensures consistency and resolves day to day issues that may arise.
  • Taking, canceling, and changing room reservation requests. Investigating and resolving customer complaints or questions. Processing guest departures including calculating changes and receiving payments.
  • Maintains regular communication with clients throughout the conference and/or event and takes a leading role in resolving problems experienced by clients.
  • Maintain the ecommerce operations for Campus Services.
  • Processes and assigns locker rental purchases.
  • Coordinates the distribution transit passes via Presto and HSR processes.
  • Provides customer service to guests, clients and internal colleagues by answering questions, phone calls, emails, and accommodating walk-in guests in a friendly and professional manner. Is responsible for ensuring each person who calls, emails or visits our office has their requests heard and responded to in a timely manner by following the processes already in place.
  • Prepares monthly reports and post event reconciliations of the Box Office.
  • Prepares deposits, invoicing and internal transfers for all events and guest accommodations. The Coordinator communicates with the Finance Department to ensure that all deposits, refunds and site sales balance.
  • Is cross trained in and able to assist with the operation of the OneCard program.

Education, Training & Certifications
  • University Bachelor\'s Degree or Community College Diploma preferred.
  • Previous experience in a professional office setting.
  • Ticket sales, theatre front of house and/or hotel front desk experience is an asset.
